Role Summary

The MIS Officer will be responsible for managing, validating, and maintaining programme data systems to ensure accurate, timely, and reliable information flows across awareness, screening, referral, and patient navigation activities. The role is central to operational monitoring, reporting, and decision support.

This position supports program teams by translating field data into structured information for performance tracking and compliance.

Key Duties and Responsibilities

1. Data Management & MIS Operations
• Maintain and update programme databases / MIS platforms
• Ensure timely entry, cleaning, and structuring of programmatic data
• Manage beneficiary records, screening data, and referral tracking datasets
• Monitor completeness and consistency of incoming data

2. Data Quality & Validation
• Conduct routine data verification and validation checks
• Identify discrepancies, missing fields, and logical errors
• Coordinate with field teams for corrections and updates
• Support implementation of data quality protocols and SOPs

3. Reporting & Dashboards
• Generate periodic reports (daily / weekly / monthly)
• Prepare programme performance summaries and tracker sheets
• Support dashboard creation for program monitoring
• Assist in donor / management reporting requirements

4. Field & Program Coordination
• Work closely with outreach, screening, and navigation teams
• Provide support on data collection formats and documentation standards
• Troubleshoot data submission issues from field locations
• Track follow-up, referral, and closure data flows

5. Documentation & Record Maintenance
• Maintain structured digital records of program activities
• Ensure audit-ready data and documentation systems
• Support archival and retrieval of historical programme data

6. Compliance & Confidentiality
• Adhere to data protection and confidentiality norms
• Ensure secure handling of patient and beneficiary information
• Follow organisational protocols for data storage and sharing

? Organizational Responsibilities:
? Actively contribute and participate as a member of the team in various organisation-wide initiatives (as needed)

Education and Experience:
Graduate degree in one of the following preferred areas:
• Statistics / Mathematics
• Computer Applications / IT
• Commerce / Management
• Social Sciences (with strong data skills)
Experience:
• 2–4 years of relevant experience in MIS / Data Management
• Experience in NGO / healthcare / field programme environments preferred
• Familiarity with beneficiary tracking systems desirable

Knowledge, Skills and Competencies:
• Strong proficiency in Microsoft Excel (critical requirement)
• Experience with MIS / CRM / data platforms advantageous
• Basic understanding of data validation and structuring principles
• Ability to manage large datasets with accuracy
• Knowledge of tools like Google Sheets, Power BI, DHIS2, etc. (desirable)
• High attention to detail and data accuracy
• Structured and methodical working style
• Ability to detect anomalies and inconsistencies
• Reliability and discipline in data handling
• Strong coordination and communication skills
• Comfort working with field teams and operational staff
