INTRODUCTION
Organizational Overview
The Nature Conservancy (TNC) is a leading conservation organization working to make a positive impact around the world in more than 80 countries and territories. Founded in 1951, TNC’s mission is to conserve the lands and waters on which all life depends. With our core values of integrity beyond reproach, respect for people communities and culture, and commitment to diversity we aim at environmental conservation through lasting tangible results.
TNC has been advancing projects in India since 2017 to support India’s efforts to “develop without destruction”. We work closely with the Indian government, research institutions, other NGOs, private sector organizations and local communities to develop science-based, on-the-ground, scalable solutions for some of the country’s most pressing environmental challenges.
Nature Conservancy India Solutions Private Limited (NCIS) is a Private Limited Company incorporated under The Companies Act, 2013. It is a subsidiary of The Nature Conservancy, one of the largest not-for-profit conservation organisations in the world. NCIS was incorporated with the objective of providing research, consulting, technical support, and advisory services to various stakeholders in and outside India relating to conservation of nature, environment, biodiversity, and climate change.
TNC launched PRANA (Promoting Regenerative and No-Burn Agriculture) in 2021 to eliminate crop residue burning, advance regenerative agriculture systems, and improve groundwater management. Since its inception, PRANA has broadened its scope to include Improved Rice Management (IRM) through climate-smart, water-saving practices such as Direct Seeded Rice (DSR) and Alternate Wetting and Drying (AWD), alongside in-situ crop residue management (CRM) and crop diversification. Today PRANA operates across 6,286 villages in 18 districts of Punjab.
PURPOSE
To position TNC as a thought leader in regenerative agriculture and showcase PRANA’s work, TNC proposes to host a two day national workshop in Delhi in June 2026. The event will bring together policymakers, researchers, donors, sectoral experts, and international partners. It will include keynote sessions, technical discussions, thematic presentations, curated films, VR experiences, and knowledge product launches.
As part of this convening, TNC seeks to commission a series of high-quality films that document field impact, explain technical interventions, and position PRANA as a credible and scalable model for regenerative agriculture in India.
NCIS on behalf of TNC is floating this Request for Proposals to engage a Production House / Filmmaker to conceptualize, produce, and deliver five films.
The objective of this assignment is to make 5 films/videos as listed.
Film 1 – Overall PRANA program Film 5-8 mins of duration
- Film 2 – 3–4-minute film showcasing PRANA’s work on crop diversification, along with importance of crop diversification for Punjab, to be shot in Tarn Taran (pear farming), Ludhiana (poplar farming) and Mansa (cotton)
- Film 3 – 3–4-minute film showcasing work done by PRANA on low-carbon emissions rice cultivation, including practices like Alternate Wetting and Drying, and Direct Seeding of Rice. Tentative Shoot locations: Sangrur, Patiala, Ludhiana, Faridkot
- Film 4 – 3–4-minute film showcasing PRANA’s work on Pay-For Results, which empowers rural entrepreneurs and machinery service providers and incentivises them based on additional area brought under no-burn agriculture and groundwater conservation. Tentative Shoot Locations: Patiala, Faridkot, Muktsar
- Film 5 – 2–3-minute film on biochar, along with the science of biochar, PRANA’s work on biochar and associated science-based research, to be shot in District Mansa
CONTRACT TYPE AND CONTRACT SERVICES
NCIS will entertain under this, RFP Cost-Plus Fixed Fee (CPFF) completion type contract(s).
BIDS
We welcome bids from bidders for successful implementation of the activities as mentioned in Objectives below
- Pre-shoot storyboard and tentative script before shoot to plan production and field visits in Punjab, aligning interviews and relevant permissions.
- Final script in discussion with the teams post shoot with a mutually agreed plan to deliver each within a gap of 7 – 10 working days.
- Publish-ready edited video (high resolution 1080p and 4K) for all films as outlined
- Teaser with thumbnail for promotions for all films.
- All pictures and raw footage in high definition captured during the project.
NCIS reserves the right to postpone or cancel the bidding process for one or more clusters with no prior notice.
PLACE AND PERIOD FOR PERFORMANCE
Place: New Delhi, India
Period: April 01, 2026 till May 30, 2026
Scope of work and Deliverables
The agency will be responsible for:
- Draft, concept, flow, and script for the film before shoot to be submitted.
- Plan and execute a shoot across relevant/identified locations in Punjab.
- Capture high-quality interviews, demonstrations, landscapes, drone visuals, and activity footage relevant to PRANA themes.
- Drone consent to be supported by TNC.
- Edit, colour-grade, and produce the required films in English. This will include translations from local language.
- Subtitles in English for the films.
- Hindi versions of the films, if required.
- The film to include graphics, animations, illustrations, maps, and details of the project, including drone footage and pictures where required, as per the final post shoot script and storyboard.
- Professional VO, as per the proposed creative concept by the agency.
- The film to include best practices from the field
- Thumbnails, graphics, and infographics to be shared with the footage and film with the team.
- Astons, graphics, maps, and VO samples for selection to be provided by the agency before final editing.
- Ensure quality, brand guidelines, and ethics of TNC (consent form for the file to be given by TNC to be taken before shoot or clicks)
- Stock footage, files, and images to be shared with the TNC team upon completion of the project
- The overall film is to be shared in compatibility with YouTube, Instagram, LinkedIn, and (X) in high definition.
- The agency is to click High Resolution images from the location (landscape and Portrait) for future use.
- The number of images is expected to be a minimum of 100 from the entire project. More images are welcome.
- The final publishable film to be in HD screening format with an adaptable version for Instagram, LinkedIn, and YouTube (ensure ratio aspects for the platforms) - Thumbnail to be provided for video. -
- 1 min publish-ready teaser for each film - to be part of the overall film for social Media promotions purposes.
- The agency is to add existing images or footage from other site locations capturing community work. Footage and Images to be provided by the TNC team.
- Ensure inclusion of inputs and feedback given by the TNC and partner teams.
- The videography timelines to be mutually decided by the agency and the TNC Team, with half a day in Delhi.
- Travel to sites in Punjab, lodging, and boarding to be shared as per actual in the formats given above, the cost of services.
- Terms and conditions applicable upon acceptance of the services from both parties.
- Please note that all applicants are subject to due diligence in case shortlisted.
- Any additional document or information, for TNC’s internal compliance purposes.
What TNC will share:
The agency will receive the following support from TNC –
- Brand Guidelines and Comms support for icons, cartography, and fonts.
- Consent form for shoot/pics
- Orientation with the Project team on the film and subject to help develop the script
- Formats to file claims on actuals for travel, lodging, and boarding.
- Footage/image that needs to be added with any other support.
TIMELINES
- Inception meeting within T+2 Days, where “T” is the contract issuance date.
- Pre-shoot storyboard /Script – T+7-9 Days for all films to ensure smooth field planning
- Video Shoot/Production – T+ 20 Days
- Editing – T+35 Days
- Finalise all deliverables T+50 Days (including feedback from TNC and partners if needed)
- Drone permission format (operator details and Aadhar to be submitted by the service provider)
- The Complete assignment is to be closed by May 30th, 2026.
ESTIMATED COSTS AND FIXED FEE
The costs allowable will be limited to reasonable, allocable, and necessary costs.
The financial bid should be prepared in accordance with the cost elements outlined below and Bidders should clearly identify their margin as part of their financial bids.

Minimum Qualifications
The applying production house/agency must meet the following minimum eligibility and technical qualifications:
1. Organizational Experience
- The agency must be a legally registered production house/company/firm in India with a minimum of 3 years of professional experience in film and video production.
- Demonstrated experience in producing documentary films, development sector films, or impact storytelling content for national or international organizations, government institutions, NGOs, or multilateral agencies.
- Prior experience working on environment, agriculture, climate change, rural livelihoods, sustainability, or community-based development themes will be strongly preferred.
2. Relevant Portfolio
The agency must submit a portfolio showcasing at least 5 completed films/projects of comparable scale involving:
- Field-based storytelling
- Multi-location shoots
- Interview-led narrative films
- Documentary or knowledge-based communication films
Experience in producing films combining live footage with graphics, animation, maps, and explainer elements is required.
3. Technical Capability
The agency must demonstrate in-house or contracted capability for:
- Concept development, scripting, and storyboarding
- Professional cinematography including drone filming
- Sound recording and professional voice-over production
- Editing, colour grading, motion graphics, animation, and subtitling
- Production of platform-adapted outputs (YouTube, LinkedIn, Instagram, etc.)
- Delivery of films in HD and 4K broadcast-quality formats
4. Team Composition
The agency must have access to a qualified core production team including:
- Director/Creative Lead
- Scriptwriter/Research Lead
- Cinematographer
- Editor/Post-production specialist
- Graphics/Animation designer
- Production coordinator for field logistics
Key personnel profiles may be requested during evaluation.
5. Field Production Experience
- Demonstrated experience conducting shoots in rural or field-based environments, including coordination with communities and local stakeholders.
- Ability to manage logistics across multiple locations and comply with filming permissions, ethical standards, and consent requirements.
6. Language and Localization Capacity
- Proven ability to work with regional languages such as Punjabi, including translation and subtitling into English and Hindi.
- Experience translating technical or scientific subject matter into accessible visual narratives for diverse audiences.
7. Delivery & Project Management
- Demonstrated capacity to deliver multi-film assignments within defined timelines.
- Experience incorporating iterative feedback from multiple stakeholders during production and post-production stages.

SUBMISSION OF PROPOSAL
Last date for submission of proposal is 20/03/2026., by 11:59pm IST.

Technical Proposal Requirements
Bidders are required to submit a comprehensive Technical Proposal that demonstrates their understanding of the assignment, approach, methodology, and capacity to deliver the required services. The Technical Proposal should include the following components:
1. Understanding of Assignment
2. Proposed Methodology and Approach
3. Work Plan and Timeline
4. Team Composition, CVs of key team members and clearly specify the role and responsibilities of each team member, as well as their anticipated level of involvement throughout the assignment (e.g., percentage of time committed, specific phases of engagement).
5. Relevant Experience
- List of similar projects executed, including client name, year of execution, and project value.
- Evidence of ability to work across multiple districts in Punjab.
6. Quality Assurance and Risk Management
- Description of quality assurance mechanisms for data collection, analysis, and reporting.
- Identification of potential risks and mitigation strategies.
7. Deliverables
Financial Bid must accompany with the following documents:
- Copy of incorporation documents.
- Copy of registration certificate under income tax and GST (If applicable).
- Copy of last three years audited financial statements with audit report.
- Copy of last three years income tax return.
- Copy of last two GST returns.
- Copy of address proof.
- List of similar project executed with name of client, year of execution, and value.
- In case the bidder is registered with MHA, please also share FCRA Registration number and validity.
- Total number of staff (full time, part time and volunteer)

if any. Bids with incomplete financial and other information as requested in this RFP will be rejected summarily.
Submission of the proposal to any other individual will result in the disqualification of the proposal. Bidder can submit only one bid. Submitting multiple bids under different name will result in automatic disqualification.
