Ayang Trust is a social purpose organization working towards building the ecosystem for sustainable self empowered communities in Northeast India through interventions in quality education and livelihoods. At the heart of the organization is The Hummingbird School started in January 2017 to provide a contextual and holistic education to the children of Majuli, set up completely in partnership with the local community. Ayang grew out of the various and urgent needs of the people of Majuli and was registered in November 2017and has since expanded its work into a diverse range of development programs.

The Opportunity:
We are seeking a full-time Associate – Administration & Finance to join the team at The Hummingbird School, supported by Ayang Trust. This role plays an important part in supporting and strengthening the day-to-day financial and administrative operations of the school.
The Associate will work closely with internal teams and external stakeholders to ensure transparency, accuracy, and efficiency in financial processes. This position is well-suited for someone who is detail-oriented, organized, and eager to build their skills in nonprofit financial management, while working in a collaborative and supportive team environment.

Key Expectations:
The detailed list of responsibilities is mentioned below; however, the role is not limited to the tasks outlined. The Associate will be expected to take on additional responsibilities, as needed, to support the financial and administrative operations of the school.
a) Finance & Accounts
Handle petty cash disbursements, maintain a manual cash book and records in Tally, and reconcile physical cash with accounts regularly.
Check and process vendor bills, ensuring that all supporting documents and approvals are in place.
Communicate with vendors to resolve invoice discrepancies, process corrections, and ensure timely payments.
Prepare and enter all types of vouchers (Payment, Receipt, Journal, Contra) in Tally with proper narration, references, and ledger selection.
Regularly reconcile bank statements with Tally records to ensure accuracy of receipts, payments, and balances; investigate and resolve discrepancies.
Monitor daily inflows and outflows across bank and cash accounts to help maintain sufficient liquidity for operational needs.
Assist in preparing monthly expenditure summaries and support budget vs. actual tracking for projects or departments.
Track expense entries against allocated budgets in Tally and flag deviations to the finance head for review.
Organize and share relevant documents for audits; ensure Tally data and physical records meet audit requirements.
Work closely with the school team, finance team and admin teams to ensure financial entries align with requirements and reporting timelines.
b) School Administration
Manage the student admission and enrollment process, ensuring timely documentation and record updates.
Maintain accurate and up-to-date student records, including attendance, performance, and personal details.
Collect student fees, issue receipts, and maintain detailed fee registers in coordination with the finance system; track pending dues and follow up with parents/guardians.
Communicate with parents regarding admissions, fee-related matters, and general administrative queries.
Maintain school inventory (supplies, uniforms, books, learning materials) and support procurement while ensuring cost-effectiveness.
Generate reports related to admissions, fees, and student data for school leadership and management.
Provide administrative support to teachers, staff, and management to ensure smooth day-to-day school functioning.

Desired qualification and competencies:
Bachelor’s or Master’s degree in Finance, Accounting, or a related field.
Prior experience in finance and administration within a school or educational institution is required.
Proficiency in Tally and MS Office applications.
Strong attention to detail, along with excellent organizational and documentation skills.
Effective communication skills and the ability to collaborate with diverse teams.
A proactive, responsible, and ethical approach to financial management and administrative work.
