The Adventist Development and Relief Agency (ADRA) India, is an independent humanitarian and development agency, engaging in sustainable development and disaster response programs for economically deprived and socially marginalized people in India. ADRA India is a part of the ADRA global network (www.adra.org), of humanitarian and development organization. Position: Accounts Officer
 
Reports to: Finance Director

Position Summary
The Accounts Officer is responsible for maintaining complete and accurate accounting records for ADRA India’s Country Office and its Micro Projects. This includes preparing financial statements, supporting audits, and mentoring field staff in financial processes. The officer will manage the accounting functions of 2–3 micro projects and support both monthly and year-end financial closures.

Position Outcomes
  • The accounts officer reviews bills, vouchers and payroll and informs about the observations time to time, prepares timely financial report on a monthly basis and assist Finance Manager / Finance Director in audits.
  • ADRA’s Field finance assistant and Admin assistant in projects are mentored and supported to collectively strengthen their practice of financial Policy (Finance Assistant & Admin Assistant)
  • ADRA India personnel enjoy a functional work environment with access to necessary equipment and resources through sustainable income generation and budgeting. (ADRA INDIA Team)
Operational Process Roles
 

A) Treasury

  • Ensures all the bank and project reconciliation at the country office and micro projects are prepared in a timely manner and outstanding amounts are followed up and reported to Finance Manager/Finance Director.
  • Responsible for the monthly reconciliation between ADRA India & ARO and submit the reconciliation statement to the Finance Manager/Finance Director.
  • Monitors bank balances and ensures that sufficient balances are available before making any disbursements.
  • Executes all financial transactions in the country office with the approval of the Finance Manager/Finance Director.
B) Accounting
  • Ensures complete and accurate accounting records are maintained.
  • Ensures that supporting documentation for all accounting records is maintained and meets the requirements of the ADRA India financial Policy, donor and the Government of India.
  • Ensures that the monthly financial statements and other requested financial reports for ADRA India are submitted to the Finance Manager/Finance Director as per the reporting deadlines.
  • Ensures the set-up of all project books in harmony with accounting principles.
  • Ensures there is a back-up of all financial data.
  • Executes the implementation of a proper accounting system in the country office and field offices.
  • Overlooks cash flow-depreciation schedules, budgeting and payrolls.
  • Ensures that proper procurement and logistics systems are followed.
  • Responsible to review bills, make observation and final posting of Admin Vouchers.
  • Responsible to allocate depreciation of ADMIN assets to the ongoing projects on monthly basis.
  • Responsible for reconciling ADMIN receivables and payables of OLD projects and do the needful to have a clear book of accounts with the guidance of Finance Manager / Finance Director.
  • Responsible for the review of vehicles and courier log books in a monthly basis before it is posted to the accounting.
  • Responsible for updating and maintaining the fixed asset register, as well as physically reviewing the assets and maintain the depreciation schedule and calculation.
  • Responsible for preparing for the Administration Financial audits with statutory audit and GCAS audit in coordinating with the Finance Manager/Finance Director.
  • Assist Finance Manager/Finance Director to respond to Management Letter sent by the auditor after the annual audit is completed.
C) TDS
  • Responsible for taking Tax declaration from all staff.
  • Responsible for the TDS return of income taxes filing for the administration.
  • Responsible for preparing the quarterly TDS report for the administration.
D) Others
  • Completes other project related tasks as requested by the ADRA India Administration from time to time. 
  • Responsible to share staff ledger with all the country office employees on monthly basis.
  • Preparing and submission of the FC-6 returns under the FCRA.
E) FIELD VISIT
  • Carry out field visits as and when required
  • Required to travel and support during emergency projects.
Perform other duties as assigned by the supervisors.
 
Qualification & Skills Required:
  • B.Com or M.Com and allied subjects, or master’s in business administration.
  • Preferably 3-5 years’ relevant experience.
  • Fluency in the English and local language, with demonstrated written skills.
  • Strong organizational skills
  • Excellent writing skills and an ability to communicate clearly and respectfully, superior time management and organizational skills.
  • Should be a team player and worked in a competitive and professional environment
  • Willing and able to travel throughout the project areas.
  • Honesty in all undertakings with behaviour congruent with ADRA principles and moral standards.

ADRA India will carry out a comprehensive background and reference check. This will encompass an evaluation of the individual's professional conduct, safeguarding practices, and overall work ethics
