Project Coordinator

Location: Jhargram District and Paschim Medinipur District, with regular travel to project blocks and field locations
Reporting to: Programme/Project Management Team

Key Responsibilities

A. Project Planning & Implementation

Lead the overall implementation of the project across the assigned blocks.
Develop detailed monthly, quarterly and annual implementation plans in consultation with the programme team.
Ensure that project activities are implemented according to approved objectives, timelines, strategies and quality standards.
Translate project objectives into practical field-level activities and ensure effective execution.
Identify implementation challenges and develop timely solutions in consultation with the senior management team.
Ensure effective coordination between the project office, block teams and community-level structures.

B. Team Management & Supervision

Provide overall guidance, supervision and technical support to the Block Coordinators.
Clearly communicate responsibilities, targets and deliverables to the field team.
Conduct regular review meetings with Block Coordinators and field staff.
Monitor staff performance and provide mentoring and on-the-job support.
Identify capacity-building needs of the team and facilitate appropriate training and orientation.
Ensure effective communication and teamwork across project locations.

C. Government & Stakeholder Coordination

Establish and maintain strong working relationships with relevant government departments and officials.
Coordinate with district and block-level administration, Panchayati Raj Institutions, line departments, educational institutions, community-based organisations and other stakeholders.
Represent the organisation in relevant meetings, consultations, workshops and review forums.
Facilitate convergence between project activities and relevant government schemes and programmes.
Support the team in developing institutional partnerships and stakeholder networks.

D. Community Engagement

Guide the team in developing meaningful engagement with communities and vulnerable groups.
Ensure that community mobilisation is inclusive and participatory.
Support the identification of community needs, barriers and service gaps.
Promote awareness, access and linkages to relevant government services, entitlements and social protection mechanisms.
Ensure that community feedback is incorporated into programme planning and implementation.

E. Monitoring, Documentation & Reporting

Develop and maintain project monitoring systems and reporting formats.
Review field data and assess progress against project indicators and targets.
Prepare regular monthly, quarterly and other programme reports.
Ensure timely submission of reports and documentation to the programme management team.
Maintain accurate records of project activities, beneficiaries, stakeholder meetings, trainings and field interventions.
Document successful practices, challenges, case studies, stories of change and lessons learned.
Use programme data to identify gaps and improve implementation.

F. Quality Assurance

Conduct regular field visits to monitor programme quality and provide support to field teams.
Verify field-level information and ensure data quality.
Ensure that project activities follow organisational policies, safeguarding standards and ethical practices.
Identify risks related to programme implementation and escalate them appropriately.

G. Knowledge & Communication

Prepare presentations, briefing notes, success stories and other programme communication materials.
Support organisational events, consultations, workshops and campaigns.
Contribute to programme learning and development of new strategies based on field experience.

Required Qualifications & Experience

Postgraduate degree in Social Work, Rural Development, Development Studies, Sociology, Public Policy, Management or a related discipline.
Preferably 4–6 years of relevant experience in the development/social sector.
Experience in project coordination, community development, government convergence or social protection programmes will be preferred.
Strong experience in field-level programme implementation and team coordination.
Good understanding of the development sector and community-based approaches.
Excellent communication, documentation and interpersonal skills.
Ability to analyse data and prepare reports.
Proficiency in MS Office/Google Workspace.
Willingness to travel extensively across project locations.
Knowledge of Bengali and English is essential; knowledge of local languages/dialects will be an advantage.
