JOB DESCRIPTION – DISCTRICT ADMIN TBMJA (TB Mukt Jan Abhiyan) Project
Position: Admin – District & Block Operations
Project: TBMJA
Coverage: 1 State, 3 Districts & 9 Blocks
Department: Administration
Reporting To: Project Lead / Admin Lead
Role Purpose:
To provide end-to-end administrative support and operational ownership for 3 Districts and 9 Blocks under the TBMJA Project, ensuring that offices, assets, vehicles, vendors, procurement, facilities and events are available, functional, compliant and managed efficiently.
Key Responsibilities:
1. Vendor Management – Identify, onboard and coordinate local vendors; manage quotations, service delivery, performance, documentation and payment follow-up.
2. Vehicle / Cab Management – Coordinate cab hiring, quotations, monthly contracts, deployment, utilization, vendor performance and monthly bill verification.
3. Local Procurement – Manage local purchase requirements, obtain quotations, coordinate approvals, procurement and delivery in accordance with organizational policies and approved budgets.
4. Office Management – Coordinate office identification, rental, setup, maintenance, renewal and vacation of District and Block offices.
5. Facility & Maintenance Management – Ensure all offices remain clean, safe, functional and operational, including electricity, water, furniture, internet, electrical/plumbing and other facility requirements.
6. Asset Management – Maintain asset records, tagging, allocation, movement, physical verification, repair, replacement and disposal. Ensure all assets remain traceable and in working condition.
7. Preventive Maintenance & Servicing – Ensure timely servicing and preventive maintenance of assets and facilities; track AMC/warranty/service requirements and minimize asset downtime.
8. Workshop & Event Management – Coordinate venue, logistics, food, transportation, stationery, equipment and other administrative arrangements for meetings, workshops, trainings and project events.
9. Administrative Support to Field Teams – Act as the single point of contact for Admin requirements of District and Block teams and ensure timely resolution of administrative issues.
10. Documentation & Compliance – Maintain vendor, procurement, vehicle, office, asset, maintenance and event records and ensure compliance with Admin SOPs, DOA and audit requirements.

• Timely closure of administrative requests
• 100% functional and properly maintained offices
• Updated and verified Asset Register
• Minimum downtime of essential assets and facilities

• Smooth execution of workshops, meetings and events

Qualification & Experience:
• Graduate in any discipline; preferably Administration / Operations / Management.
• 3–6 years of relevant experience in Administration, Operations, Facility Management or a similar role.
• Experience in field-based / multi-location operations will be preferred.
• Good communication, coordination, negotiation and documentation skills.
• Proficiency in MS Office / Google Workspace and basic MIS reporting.
• Willingness to travel across assigned Districts and Blocks as required.
Please note the following additional points regarding the Admin position for the TBMJA Project:
The Admin will be allocated 3 Districts and 9 Blocks within the assigned State. In addition to managing the assigned Districts and Blocks, the Admin will be responsible for providing administrative support for events, workshops, meetings, and other project-related activities across the State, as and when required.
The Admin will be required to reside in one of the three assigned Districts, preferably the centrally located District, to ensure effective geographical coverage, timely response, and seamless administrative support across all three Districts and their respective Blocks.
