Job Description: School Programme Coordinator / Centre Operations LeadJob Overview
We are looking for an organized, proactive, and empathetic School Programme Coordinator / Centre Operations Lead to oversee core daily functions, academic operations, administrative logistics, and HR support at our learning centre. In this role, you will work closely with centre leads, class owners, teachers, and external partner organizations to ensure smooth operations, effective timetable and calendar execution, and holistic support for children and families.
Key Roles & Responsibilities
1. Core School Programme FunctionsTimetable & Daily Management: Implement standard timetables (Nursery to Class 8), handle daily manual modifications based on monthly calendars, and manage weekly schedules. Substitution Management: Track daily leave requests (planned/emergency) between 4:00 PM - 5:00 PM and manage morning substitutions to ensure smooth class coverage. Calendar Planning: Develop and manage comprehensive monthly calendars incorporating programme milestones, meeting schedules, fixed events, and rescheduling needs. Reporting & Tracking: Collaborate with centre leads to compile defined centre reports, track classowner reports, and monitor academic and class snapshots (weekly progress, group-wise, and child-wise actions). Attendance Ownership: Monitor daily attendance for assigned classes, identify attendance challenges, and engage with teachers, parents, and children to ensure improved attendance. Field Trip Management: Plan, manage, and coordinate internal and external logistics for educational field trips with teachers. 2. Administrative & Event ManagementEvents & Fundraising: Assist in planning and executing centre-level fundraising and special events. Donor Engagement: Draft case studies on children and families following standard templates for donor reports and visits. Health Programme Coordination: Coordinate health screenings with partner foundations (e.g., Hans Foundation), maintain main trackers for identified critical cases, and monitor follow-ups across School Programme (SP) and After School Support Programme (ASSP). Mainstreaming & Transitions: Support transition management, NIOS (National Institute of Open Schooling) transfer processes, and mainstreaming work with families and children. 3. HR & Operational SupportRecruitment & Induction: Coordinate with the HR team for new teacher inductions and recruitment processes. Leave Tracking: Track staff leave details to update calendars and timetables. Faculty & Volunteer Coordination: Oversee sports programme operations with faculty and coordinate volunteer engagement at the centre. 4. Direct Work with Children & FamiliesFacilitate family vision-building sessions with identified families. Support practical skills initiatives and Gender & Sexuality (G&S) curriculum/awareness for Classes 3 to 5. Manage menstruation tracking and awareness initiatives within the centre. Key Stakeholders & CollaborationInternal: Centre Leads (e.g., Alka, Dulichand), Class Owners, Teachers, Academic Team, and HR SPOCs. External: Health partners (Hans Foundation), open school authorities (NIOS), and visiting donors/volunteers. Key Skills & QualificationsEducation & Experience: Prior experience in education management, non-profit sector operations, centre management, or social work. Operations & Scheduling: Strong organizational skills with experience in scheduling, timetable management, and leave planning. Data & Reporting: Proficiency in maintaining Excel tracking sheets, progress snapshots, and case study reporting. Communication & Stakeholder Management: Ability to communicate empathetically and effectively with parents, children, teachers, HR, and external donors/NGOs.
