Position Overview
CSJ is looking for an organized, proactive, and detail-oriented Human Resource Associate with a minimum of 4 years of experience. The role will be responsible for end-to-end HR operations, policy compliance, personnel records, contract management, performance reviews, insurance processing, and staff travel logistics.
While experience in the non-profit/development sector is preferred, professionals from all sectors with relevant HR operational competencies are strongly encouraged to apply.
Key Responsibilities
1. Contracts & Consultancy Management
• Draft, execute, and archive employment contracts, consultant agreements, internships, and service contracts.
• Monitor contract validity, renewals, extensions, and timely termination/offboarding.
• Review consultant deliverables, track milestones, and coordinate with the finance team for the timely release of consultancy payments and invoices.
2. Policy Drafting, Implementation & Compliance
• Assist in drafting, refining, and updating HR manuals, organizational policies, and standard operating procedures (SOPs).
• Ensure organizational policies are aligned with relevant national and state-level labour laws and statutory guidelines.
• Drive the rollout and orientation of updated policies for all team members across office locations.
3. Personnel Records & HR Operations
• Maintain up-to-date physical and digital employee records/personal files ensuring strict confidentiality.
• Oversee and manage the daily attendance, timesheets, and leave records (leave balance, accruals, and approvals).
• Manage staff onboarding, induction, background checks (where applicable), and seamless exit formalities.
4. Daily Expenses & Financial Coordination
• Verify and process daily HR, staff welfare, and administrative expenses.
• Coordinate closely with the accounts and finance team for employee reimbursements, petty cash handling, and vendor/consultant clearance.
5. Employee Benefits & Insurance (Mediclaim & Accident Claims)
• Serve as the primary point of contact for the organization's Group Mediclaim and Personal Accident Insurance policies.
• Facilitate additions, deletions, and updates of staff/dependents in the policy roster.
• Assist employees in documentation, filing, tracking, and settlement of cashless/reimbursement insurance claims.
6. Performance Management & Reviews
• Facilitate and coordinate the organization-wide Staff Quarterly Review process.
• Collate, consolidate, and analyze quarterly review feedback and appraisal documents.
• Document review outcomes, track follow-up goals, and coordinate with team leads on training/support needs identified during reviews.
7. Travel Logistics & Coordination
• Coordinate and book domestic travel for staff and external consultants (flights, trains, buses, and local transport/cabs).
• Arrange hotel/guesthouse accommodations and field-level logistics for team visits and events.
• Verify travel requests, ensure compliance with the organization’s travel policy, and review travel expense claims prior to finance approval.
Eligibility Criteria & Qualifications
Education: Bachelor’s or Master’s degree in Human Resource Management, Psychology, Social Work (MSW), Law, or a related discipline.
Experience: Minimum 4 years of demonstrated experience in core HR operations, administration, and policy management.
Experience in the social/development/non-profit sector is preferred, but candidates from corporate, startup, or other industry backgrounds are welcome.
Key Skills & Competencies
• Policy & Compliance Awareness: Basic understanding of HR best practices and Indian statutory requirements.
• Operational Efficiency: Strong ability to juggle multiple workflows (contracts, logistics, reviews) with attention to detail.
• Tech Proficiency: Hands-on experience with MS Office (particularly MS Excel and Word) and HR management software/Google Workspace.
• Communication & People Skills: Clear written and verbal communication skills; ability to communicate empathetically and professionally with diverse teams.
• Integrity & Discretion: High standards of ethics, discretion, and confidentiality when handling sensitive personnel data.

Compensation will be commensurate with experience and skills and in line with internal policies of the Centre for Social Justice.
