The United States–India Educational Foundation (USIEF), established in 1950, is dedicated to fostering mutual understanding between the people of India and the United States through educational exchanges. USIEF scholars are primarily funded by the U.S. Department of State and the Indian Ministry of External Affairs.
USIEF’s core activities include. 1. Administering the Fulbright-Nehru and other fellowships for Indian and American students, faculty, researchers, and professionals; 2. USIEF seeks results-oriented candidates with professional experience and a desire to excel for the following position:
Administrative Associate, Chennai
Basic Functions of the Position:
The incumbent serves as a key member of the USIEF Chennai team, reporting to the Regional Officer. The Administrative Associate is responsible for managing accounts, purchasing and maintenance of assets and general office stationery requirements, facilitating logistical arrangements for events and meetings, and providing administrative support for Fulbright and EducationUSA programs in the region.
The position is full-time (40 hours per week).
Major duties and responsibilities include:
- Maintain accounts – petty cash, program, and bank.
- Manage assets – procurement, inventory, upkeep, and disposal.
- Provide facilitative services to visiting American scholars – information on cities, housing, foreigners’ registration, travel, health and settling in.
- Assist with database entry for the Indian Fulbright applications.
- Maintain files related to American scholars and Indian fellowships.
- Provide administrative support to organize events and meetings. Eg, venue booking; RSVP; audio-visual, seating, and catering arrangements as required.
- Create Google registration forms for events and support virtual meetings and events on Google Meet and Microsoft Teams.
- Assist in preparation of purchase orders and process payments after verification.
- Provide information about USIEF to visitors and manage phone enquiries
- Manage administrative tasks related to the Chennai office. Eg. post/courier dispatch and receipt, purchase stationery, hotel and transport bookings, GST file maintenance, and coordinate systems preventive and corrective maintenance.
- Identify cost-effective and efficient vendors as required.
- Compile fiscal reports as per monthly and annual requirements.
- Any other responsibility assigned by the Regional Officer.
Required Qualifications and Skills:
Education:
Bachelor’s Degree in any discipline.
Experience:
Minimum two years of relevant work experience. Knowledge of accounts and experience in a multicultural environment will be an added advantage.

Skills:
High-level oral and written English communication and interpersonal skills; Self-driven with strong liaising skills; Experience in organizing conferences or similar events; Proven ability to work in a team environment; multitasking while maintaining close attention to detail, and problem-solving skills are assets. Fluency in MS Office – Outlook, Word, and Excel; database management; adept in Internet-based tools such as creating Google Forms.
Compensation: Annual salary 5.47 Lakhs plus benefits of approx. 3.4 Lakhs.
