PURPOSE OF POST:
Execute administrative, HR and legal related tasks to support the PAM following DWBI standards and procedures, in order to ensure legal compliance and to realize the HR capacity required to achieve HR objectives.
FUNCTIONAL AND HIERARCHICAL LINES
Hierarchically and functionally PAM/ LDM Manager
ACCOUNTABILITIES:
• Under supervision of the Personnel Administration Manager managing personal files for all coordination employees.
• Updating the HR Homere database and personal files of all employees (Hard + digital) to facilitate HR processes management.
• Preparing employment contracts in conformity with legal requirements including specific amendments when necessary in order to ensure local labour and fiscal law compliance.
• Preparing monthly pay slips for all staff, editing and updating the necessary data, in order to ensure the punctuality and accuracy of staff payroll.
• Additional HR/ Admin tasks delegated by the PAM.
CONTEXT SPECIFIC ACCOUNTABILITIES
Homere, Payroll, taxes and social contributions
• Ensures that payroll for Delhi Coordination is properly prepared and calculated. Reviews and send it to PAM for approval and further processing.
• Responsible to encode payroll related data (new joiner’s homere file creation, leave application encoding, overtime, 13th month bonus calculation, settlement preparation) in Homere in due time and send to PAM.
• Support PAM in carrying out Homere quality check in the mission (all project locations and Delhi)
Legal and Administrative Compliance
• Responsible for preparing contracts/addendum for all local coordination staff and send it to PAM for review and further processing.
• Ensure efficient contacts with EPF Consultant to grant efficient and timely quality control with regards to employee’s EPF claims and issues.
• Support PAM in preparing reports for auditors/inspection.
Filing
• Ensure an efficient filing system (physical and electronic files) of all employees’ personal files and other administrative private documents in Delhi Coordination
• Support PAM in following up the all Projects filing system (physical and electronic files) are in place.
Onboarding plan
• Support L&D Manager in implementation of onboarding programme in the mission;
• Coordinate and support Managers/Supervisors in creation of onboarding documents for newly joined employee
• Ensure validation by relevant Department Heads and Coordinators
• Ensure filing of all created onboarding documents in Share point
• Follow up with relavant Managers timely completion of onboarding plan
Performance management tool (PMF)
• Support L&D Manager in PMF follow ups and as in providing refresher trainings on PMF in the mission;
• Track PMF KPI’s on quarterly basis with Project HRMs and Coordinators in Delhi;
• Flag to L&D Manager in case of issues or pending objective settings/check-ins/end year evaluations
Local Workshop Plan
• Support L&D in timely and quality implementation of Local workshops across the mission (Including identifying vendors, creating contracts, CBA’s etc);
• Support and guide Project HR team in local workshop arrangements by ensuring compliance as per Learning Policy.
Documentation
• Ensuring Homere encoding of all trainings, detachments and PMFs by following up with Project HR team
• Track and document all the trainings and workshops data for all employees applied/will applied in the mission;
• Follow up on training selection status along with the Application of Learning Documents
• Create and disseminate L&D Newsletters with support of the LDM
Learning and development
• Support L&D Manager in creating training/workshop materials;
• Support L&D in delivering trainings/workshops/sessions etc in the Projects, when required;
Others
• To perform any other tasks as required by your Supervisor/Line Manager
• To maintain a flexible approach and response to the needs of the mission even if outside of this job description.
Education: Degree in administration or management related studies.
Experience: Working experience of at least two years in HR administration and learning development field
Languages: English and Hindi. Knowledge of any other local languages would be an asset.
Knowledge: Computer literacy (Word, Excel, Outlook) professional level essential
