AVN Trust has undertaken holistic approach for overall development of the deprived and under privileged section. We with our several programs positively impacted the lives of the marginalized sections of the society by encouraging, enabling and connecting them with the process of development through a people centric approach and we also guide and connect them to several government schemes and programs.

Over the past 14 years AVN Trust has contributed in the areas of; creation and Capacity Building of FPOs and SHGs, Social and Legal awareness among women and poor, Natural Resource Management, Sustainable Livelihood Promotion among deprived, HIV-AIDS prevention and awareness campaigns among Injecting Drug users, Vocational training and skill development among young and able for better employability, Drinking water and Sanitation programs in rural and urban areas, Female literacy, formal and non-formal education for children deprived of means to education in urban slums and rural areas and capacity building of the social sector organizations working at the grass root level on various issues in several states in northern and few north eastern part of India.Our programs and activities are designed to reach out to the poor and vulnerable section of the society, women, adolescents and various other disadvantaged people of varioussocio-economic backgrounds from both rural and urban areas spread across various locations in India.

About the Role
We are seeking a highly organized and proactive Personal Secretary to provide administrative and personal assistance to [an executive/a department head/a private client]. The ideal candidate will be a multitasker with excellent communication skills and the ability to maintain confidentiality while managing a variety of tasks with precision and discretion.
Personal Secretary Responsibilities and Duties
• Manage calendars, appointments, and travel arrangements
• Handle phone calls, emails, and correspondence on behalf of the executive
• Prepare reports, presentations, and meeting minutes
• Organize and maintain files, records, and important documents
• Coordinate meetings, events, and logistics with internal and external stakeholders
• Screen visitors and manage daily administrative tasks
• Monitor and order office supplies as needed
• Maintain a high level of confidentiality and discretion
• Perform personal errands or tasks as required
• Research and identify relevant grant opportunities (Govt, CSR, international agencies).
• Draft detailed project proposals, concept notes, and expression of interest (EOI) documents.
• Ensure proposals are visually appealing and professionally formatted using tools like Canva, MS Word, PowerPoint, AI etc.
• Coordinate with program, finance, and field teams to gather accurate data, success stories, and implementation frameworks.
• Maintain a repository of submitted proposals, templates, and reference documents.
• Assist in donor communications, compliance documentation, and due diligence processes.
• Stay updated on the latest government schemes, CSR trends, and donor requirements.

Personal Secretary Qualifications and Skills
• Excellent organizational and time management abilities
• Strong written and verbal communication skills
• High level of discretion, reliability, and professionalism
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
• Ability to multitask and prioritize under pressure
• Attention to detail and proactive problem-solving skills
• Familiarity with office equipment and administrative procedures
• Flexible, resourceful, and adaptable to changing priorities
Eligibility Criteria & Education and Experience Requirements

• Education: Postgraduate (Master’s degree mandatory); MSW preferred.
• Experience: Minimum 2 years of proven experience in proposal writing for NGOs or development sector projects.
• Skills Required:
o Strong writing, editing, and documentation skills in English and Hindi.
o Proficiency in designing proposals using Canva, Google Docs, MS Word, PowerPoint, etc.
o Ability to structure content with logical flow, visuals, data tables, budgets, and annexures.
o Knowledge of online submission portals like Darpan, NGO Portal, CSR portals, etc.
o Attention to detail, ability to meet tight deadlines, and work independently or in teams.
o Understanding of rural development, SHG models, livelihood programs, and women's empowerment.
• 2+ years of experience in an administrative or executive assistant role
• Experience supporting high-level executives or private individuals is a plus
• Knowledge of calendar and travel management software is an advantage
• Note:- For project related office work, one will have to go out of state along with Chairman and other staff.
