About the Role
Synergie is seeking a dedicated and organized Admin Officer / Centre Administrator to oversee the day-to-day administrative operations of the centre. The role requires ensuring smooth functioning of the office, maintaining records and inventories, supporting project teams with documentation, managing attendance and assets, and coordinating with internal and external stakeholders.
The ideal candidate should possess strong organizational skills, attention to detail, proficiency in
documentation, and the ability to manage multiple administrative responsibilities efficiently.
Key Roles and Responsibilities
1. Office Administration & Operations
• Ensure smooth day-to-day functioning of the centre and office premises.
• Maintain cleanliness, safety, and upkeep of office infrastructure.
• Coordinate with vendors, service providers, and maintenance agencies.
• Monitor office supplies and ensure uninterrupted availability of required materials.
• Support logistical arrangements for meetings, trainings, workshops, and events.
2. Inventory & Asset Management
• Maintain and regularly update inventory records of all centre assets and equipment.
• Manage stock registers and track issuance, utilization, and replenishment of materials.
• Conduct periodic physical verification of inventory and assets.
• Ensure proper tagging, storage, and documentation of office equipment and resources.
• Report shortages, damages, and replacement requirements to management.
3. Documentation & Record Management
• Maintain systematic filing (physical and digital) of all centre-related documents.
• Organize and update project records, agreements, invoices, bills, correspondence, and reports.
• Ensure proper documentation for audits, donor requirements, and compliance purposes.
• Maintain confidentiality and security of organizational documents and records.
4. Attendance & HR Support
• Maintain daily attendance records of staff, facilitators, trainers, and visitors.
• Support leave tracking and attendance reporting.
• Coordinate onboarding documentation for new staff and consultants.
• Maintain employee records and support HR-related administrative requirements.
5. Email & Communication Management
• Monitor official email accounts and ensure timely responses and follow-ups.
• Maintain communication records and correspondence with stakeholders.
• Draft routine emails, letters, notices, and administrative communications.
• Escalate important communications to the concerned team members.
6. Procurement & Vendor Coordination
• Support procurement of office supplies and centre requirements.
• Collect quotations and coordinate with vendors as per organizational procedures.
• Maintain procurement records and supporting documentation.
• Track invoices, payments, and delivery status of procured items.
7. Financial & Administrative Support
• Maintain records of administrative expenses and bills.
• Support preparation of reimbursement documents and expense records.
• Coordinate with finance teams for documentation related to payments and audits.
• Ensure all administrative records are maintained as per organizational policies.
8. Compliance & Reporting
• Ensure adherence to organizational policies and administrative procedures.
• Prepare periodic administrative reports related to attendance, inventory, procurement, and centre operations.
• Support internal and external audits by providing required documentation.
• Maintain registers and records required under project and statutory requirements.
Required Qualifications
• Bachelor's Degree in Administration, Commerce, Management, Social Work, or any related discipline.
• 2–5 years of experience in administration, office management, or centre operations.
• Experience in the development sector, NGOs, CSR projects, skill development centres, or community programs will be preferred.
Required Skills & Competencies
• Strong organizational and record-keeping skills.
• Proficiency in MS Office (Excel, Word, PowerPoint).
• Good written and verbal communication skills in English and Hindi.
• Ability to maintain inventory and stock registers accurately.
• Knowledge of documentation and filing systems.
• Ability to coordinate with multiple stakeholders and vendors.
• Strong attention to detail and problem-solving skills.
• Ability to work independently and manage multiple tasks simultaneously.
