Designation: Associate, Administration
Location: Ratnagiri, Maharashtra
Position Overview:
The Associate, Administration will assist and report to State Manager or INCO (India Country Office). Handle admin activities, including payments, and procurement. Support program and state teams in fund tracking, reports, and documentation. Manage vendor coordination, Support in logistics, and ensures timely processing of bills and procurement as per organizational guidelines. The Primary responsible for assisting in maintaining all aspects of the organization’s administrative initiatives at district level.
Responsibilities:
- Preparing Procurement Plan (Quarterly and Monthly) in coordination with the Program Team and weekly update on the progress in meetings and on designated trackers.
- Managing end-to-end Procurement of Goods and Services which includes processing PRs, vendor exploration, selection, collection of quotations, preparing comparative statements,
- sending it to procurement committee, and submission for Admin Review at country office, onboarding, Contracts, Preparing and Issuing Purchase Orders, as per other organizational policy and process, maintaining procurement registers and trackers as per requirement.
- Procurement documentation as per organizational templates and timelines.
- Maintain all procurement-related trackers as per timelines and share necessary information with country office as per the requirements.
- To ensure quality of material and delivery on time.
- Distribution or dispatch of program related material to destinations and regular follow up with vendors for safe delivery of material.
- Material verifications with support of program team make.
- Review of documents as per payment process sheet (for payment of procurement bills).
Qualifications:
Required:
- Bachelor’s degree in Commerce or related field.
- A minimum of three (03) years of experience in NGO, managing administration.
- Adopt at using Microsoft Office applications – word, excel.
- Verbal and written communication skills in English & Hindi.
- Should have knowledge of Marathi Language.
Preferred:
- Administration experience in an NGO/International NGO.
- Flexible attitude towards changing priorities and ability to multi-task with an eye for detail.
- Strong initiative skill.
- Team player.
- Excellent interpersonal and relationship building skills.
