Position: Centre Manager
Location: KARO Centre, Sion Koliwada, Mumbai
Working Hours: 9:30 AM – 6:00 PM (and shift-wise also whenever needed)
Languages Required: English, Marathi and Hindi

Reporting Structure
The Centre Manager will work under the guidance and supervision of the General Manager, CEO, and Trustees of KARO Trust. The role is responsible for the overall management and smooth functioning of the Centre, including patient care coordination, administration, staff supervision, infrastructure maintenance, and documentation.

1. Centre Management & Operations
• Oversee the overall functioning of the Centre, including management of patients, families, staff, infrastructure and administration.
• Manage Centre occupancy by coordinating with hospital MSWs, doctors, waiting patients and the KARO team.
• Ensure smooth admission and discharge processes for patients and families.
• Provide orientation to newly admitted families, including explaining Centre rules and facilities.
• Conduct periodic review meetings with families.

2. Patient & Family Support
• Provide emotional support and basic counseling to families and refer cases to professional counselors when required.
• Maintain regular communication with doctors and hospital teams regarding patient needs.
• Address patient and family concerns and ensure a safe and supportive environment.

3. Human Resource Management
• Supervise Centre staff, including recruitment, training, scheduling and performance appraisal.
• Ensure effective teamwork and smooth coordination among staff members.
• Promote organizational values and discipline among staff and resident families.
• Prepare the staff roster, as this centre (KARO HOME) operates 24X7.

4. Infrastructure & Inventory Management
• Ensure proper maintenance of Centre infrastructure and facilities.
• Manage inventory, including linen, food supplies and essential items.
• Handle procurement and stock management.
• Coordinate with vendors and service providers such as grocers, electricians, plumbers and contractors.

5. Administration & Documentation
• Maintain accurate records, registers and MIS data related to patients and Centre operations.
• Prepare and submit daily and monthly reports.
• Establish procedures for record maintenance and documentation.
• Maintain both hard copy and digital records for easy access and retrieval.

6. Financial & Accounts Management
• Manage day-to-day Centre accounts and expenses.
• Maintain documentation of payments, receipts and financial records.

7. Volunteer, Donor & Visitor Management
• Coordinate and manage volunteers working at the Centre.
• Facilitate visits by donors, supporters and guests.
• Ensure proper documentation and reporting of donor and visitor interactions.

8. Networking & External Coordination
• Build relationships with local authorities, including police stations, hospitals and service providers.
• Coordinate with homeowners, ambulance drivers, vendors, and contractors.
• Develop networks with hospitals, healthcare NGOs and other like-minded organizations.
• Prepare a monthly activity calendar and coordinate with the external sources or volunteers.

Office-Based Responsibilities
• Attend to patients visiting the office, conduct interviews and complete necessary forms.
• Process and maintain documentation, payments and receipts in a timely manner.
• Maintain call logs and follow up with patients, doctors, and MSWs.
• Collect patient testimonials, photographs and consent forms for communication purposes.
• Maintain a database of hospitals, NGOs, donors and partners.
• Assist in the preparation of monthly and annual reports.
• Plan and coordinate events, activities and patient support programs.
• Support monitoring, evaluation and analysis of KARO projects.
• Assist in updating KARO’s website and social media with relevant information and photographs.

Emergency Responsibilities
• The Centre Manager should be available on call during emergencies and be willing to work flexible hours or night shifts when required to manage urgent situations at the Centre.
