I. Background

Aangan works to prevent harm to children by strengthening the safety net around them. We work with children and adolescents in high-risk contexts such as child marriage, trafficking, hazardous work, and abuse, with a focus on ensuring that children are safe, protected, and supported.

Our approach focuses on building the capacity of key stakeholders—including communities, adolescents, and government systems—to identify risks early and respond effectively. Through our work, we enable local systems to take ownership of child protection and create safer environments for children.

This work is supported by a strong and responsive operations backbone that enables teams across locations to function effectively and consistently. From supporting leadership and managing systems to ensuring seamless coordination, infrastructure, and communication, the operations function plays a critical role in enabling program impact on the ground.

II. Position Summary

The Associate / Senior Associate –Operations will play a critical role in ensuring the smooth functioning of leadership support, office operations, financial coordination, vendor management, and organizational systems. This role requires a highly organized and proactive individual who can manage multiple responsibilities across operations, administration, and communications while supporting leadership and program teams.

Scope of Work

Primary responsibilities include but are not limited to:

1. Executive and Coordination Support
• The role holder will manage leadership’s calendar, including scheduling and coordinating internal and external meetings with leaders, board members, and key stakeholders.
• Attend key meetings, document minutes, and systematically track and follow up on action points.

2. Office and Administrative Operations (Delhi office)
• Oversee the end-to-end operations of the Delhi office, including management of rent, utilities, housekeeping, and maintenance services.
• Ensure that office infrastructure is fully functional at all times and coordinate timely repairs and upkeep.

3. Financial and Administrative Support
• Manage petty cash and employee reimbursements, ensuring proper documentation and adherence to organizational processes.
• Collate expenses and coordinate with the finance team for reconciliation and resolution of any discrepancies.
• Manage physical documentation of expenses, including couriering and collecting signed documents.

4. Vendor Management
• Manage vendor onboarding processes, ensuring that all required documentation is completed and maintained.
• Coordinate with vendors end-to-end, including collecting quotations, finalizing services, and processing invoices.
• Maintain updated vendor records and track any changes in vendor information or contracts.

5. Asset and Inventory Management
• Maintain and regularly update the inventory of laptops and devices across all offices, including state locations.
• Track asset movement, coordinate repairs and servicing of devices with authorized service centers or external vendors.
• Manage and label hard drives and ensure that data storage systems are organized and secure.

6. Digital Tools and Systems Management
• Manage organizational digital accounts, including platforms such as Zoom, Canva, website hosting, and domain services.
• Track and ensure timely renewal of all subscriptions and digital tools.
• Control and monitor access to official email accounts and other digital platforms.

7. Design and Communication Support
• Design Program presentations, templates, reports, factsheets, and basic video content as required.
• Provide ongoing design and communication support to leadership and program teams.

8. Social Media and Website Management
• Manage the organization’s social media platforms, including LinkedIn and Instagram, with responsibility for content creation, scheduling, and posting.
• Oversee access control and engagement across all social media handles.
• Maintain and update the organization’s website and track all changes systematically.

9. Documentation and Knowledge Management
• Maintain organized repositories of key organizational and leadership documents.
• Create and manage structured folders for photos and videos, organized by year and program.
• Collect and curate field content for use in reports and communication materials.
• Maintain updated mailing lists and ensure internal documentation systems are current and well-structured.

IV. Competencies and Abilities
• Strong organizational and time management skills with the ability to handle multiple priorities
• Excellent coordination and stakeholder management abilities
• High attention to detail and process orientation
• Proficiency in MS Office, Google Workspace, and design tools such as Canva
• Strong written and verbal communication skills
• Ability to work independently with a high sense of ownership and accountability

V. Education and Experience

• Bachelor’s degree in any discipline; relevant postgraduate qualifications will be an advantage
• 2–5 years of experience for Associate / 4–8 years for Senior Associate in operations, administration, or similar roles
• Prior experience in the development sector will be preferred
