Founded in 2000, CREA is an international feminist human rights organization based in New Delhi, India. It is one of the few feminists’ human rights organizations based in the global South, led by Southern feminists, working at community, national, regional, and international levels. Together with partners from a diverse range of human rights movements and networks, CREA’s work focuses on building feminist leadership, strengthening movements, expanding sexual and reproductive freedoms, promoting rights-based approaches to reducing gender-based violence (GBV), and advancing the human rights of structurally excluded people.
About the Role
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and coordination support to the Executive Director (ED) and Director, Programs and Innovation (DPI). Time will be divided equally between the ED and the DPI. This is a support role requiring exceptional organizational ability, discretion, and a strong understanding of the feminist and human rights context in which CREA operates. The Executive Assistant will report directly to the ED and the DPI and will perform the following functions in accordance with CREA’s strategic vision, mission, and goals.
Key Responsibilities
The responsibilities of the Executive Assistant will include the following:
I. Calendar and Schedule Management
Efficiently manage the calendar of the ED and DPI, including scheduling and organizing meetings, appointments, and recurring internal calls.
Coordinate inter-team schedules to ensure monthly team meetings, weekly check-ins, and other regular meetings are calendared and invites sent.
Prepare and maintain a forward calendar of conferences, convenings, and external engagements to be attended by the ED and DPI.
Share daily meeting schedules with the ED; priorities and screen incoming requests to ensure the ED’s time is used effectively.
Organize meeting logistics, including preparation of agendas, meeting minutes, and summaries of action points for the ED and DPI.
Regularly update and maintain the address book of the ED, ensuring accurate contact information for internal and external stakeholders.
II. Travel and Logistics Support for ED and Director, DPI
Arrange complex domestic and international travel, including flights, accommodation, and ground transportation, ensuring seamless end-to-end logistics.
Research visa requirements for international travel, compile necessary documentation, and initiate and complete visa applications as required.
Manage travel-related details including seat assignments, meal preferences, frequent flyer numbers, baggage compliance, web check-ins, and connecting flights.
Set reminders for cancellations and duplicate bookings to avoid unnecessary costs; track and submit travel expenses & reimbursements in a timely manner.
Update accommodation details on the ED and DPI’s calendar, including check-in and check-out dates, hotel details, and reservation confirmation numbers.
Track miles credited for each flight, note expiry dates, and remind the ED well in advance.
III. Correspondence, Documentation, and Communication
Draft, proofread, and manage correspondence, briefing notes, and communications on behalf of senior leadership.
Prepare presentations, reports, and documents for internal and external audiences.
Manage and prioritize incoming communications, flagging matters requiring urgent attention.
Maintain organized systems for documentation, filing, and information management, including digital folders and records.
Regularly sort and scan receipts against credit card statements on a weekly or bi-weekly basis, maintaining organized records for finance processing.
IV. Programme and Organizational Coordination
Support the DPI and ED in tracking programme timelines, deliverables, and reporting deadlines.
Liaise with programme teams, partners, and funders as directed by senior leadership.
Coordinate logistics for meetings, workshops, convenings, and organizational events involving senior leadership, including board meetings, OMT(organization management team) and governance processes.
Liaise with external stakeholders, guests, and partners in relation to leadership engagements.
Process expense claims, track budgets related to leadership functions, and liaise with the finance team as needed.
V. Administrative and Document Management
Keep meticulous track of the expiration dates for IDs, passports, and other key documents, proactively initiating renewal processes and ensuring all required documentation is prepared and submitted in time.
Provide technical and administrative support as required, including managing digital tools and platforms used by the ED’s office.
Provide meeting coordination, meeting logistics, and meeting-related IT support for organizational meetings. Coordinate recruitment activities and provide recruitment-related administrative support to the Director – People & Culture, as required.
Undertake any other responsibilities assigned by the ED and DPI in line with CREA’s needs.
Qualifications, Experience and Competencies
Bachelor’s degree in Business Administration, Secretarial Studies, or a related field; post-graduate qualification an advantage.
At least 4–6 years of experience in a similar executive support or senior administrative role, preferably within the development, civil society, or human rights sector.
Excellent written and verbal communication skills in English, including the ability to draft correspondence and presentations; proficiency in Hindi an advantage.
Strong organizational and time management skills with the ability to manage multiple priorities and work under pressure.
High degree of discretion, confidentiality, and professional judgment in handling sensitive information.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and digital communication tools including Zoom and scheduling platforms.
Familiarity with feminist organizational values and a demonstrated commitment to gender justice and human rights.
Ability to work independently, anticipate needs, and exercise initiative.
Adaptability and a proactive approach to problem-solving; experience in fast-paced and dynamic environments.
International working experiences an added advantage.
