POSITION ROLE
The Sponsorship & Retention Coordinator is responsible for managing donor communication and engagement through telecalling, WhatsApp, and email and donor management tools. The role focuses on creating positive donor experiences through welcome calls, follow-ups, renewals, and upgrade initiatives while achieving donor retention targets and reducing donor attrition. The coordinator ensures accurate maintenance of donor and child records, tracks donor interactions, supports retention strategies, and contributes to improved donor engagement and operational efficiency through structured processes and technology-enabled workflows.
 
Remain alert and responsive to any safeguarding risks; acquire and maintain the relevant knowledge and skills necessary to promote strong safeguarding practices; understand and adhere to ChildFund India’s Safeguarding Policy and Procedures; and conduct yourself at all times in a manner consistent with ChildFund India’s safeguarding principles and standards.
 
PRIMARY RESPONSIBILITIES
  • Manage end-to-end donor communication through telecalling, WhatsApp, email, and other engagement channels.
  • Conduct welcome calls, follow-ups, renewal calls, and upgrade conversations to strengthen donor relationships and improve retention.
  • Drive donor retention initiatives, achieve retention targets, and reduce donor attrition through proactive engagement strategies.
  • Track and manage child sponsorship donors separately, ensuring timely communication, engagement, and retention activities.
  • Coordinate with program teams to collect, verify, and maintain updated child profiles and sponsorship-related information.
  • Prepare child profiles, donor communication templates, and other engagement materials in required formats.
  • Maintain accurate and updated donor, child, and sponsorship records in fundraising/CRM systems.
  • Support donor renewal, upgrade, and reactivation campaigns through structured communication plans.
  • Address donor queries and concerns promptly to enhance donor satisfaction and experience.
  • Coordinate with fundraising, program, and operations teams to ensure smooth donor servicing and timely issue resolution.
  • Maintain a professional, empathetic, and respectful approach in all donor interactions.
  • Ensure data accuracy, process compliance, and effective use of technology-enabled workflows for efficient donor management.
  • Additional responsibilities given by the manager
 
MINIMUM QUALIFICATIONS REQUIRED FOR THIS POSITION
Education: Graduate or Equivalent experience
Work Experience: Minimum 3years of experience in face to face fundraising, donor management or customer engagement is required.
Language Proficiency: Fluency in English both verbal and written, is preferred. Proficiency in additional local languages will be considered an advantage.
Skills and Abilities: Proven ability to engage and communicate effectively with diverse individuals and groups. Strong interpersonal and relationship-building skills.

EVALUATION AND SELECTION CRITERIA
Step 1: HR Pre-Screening:All Job Applications received will be collated by HR and preliminary screening will be conducted based on the minimum education and experience requirements mentioned above. The Applicants that do not meet the education and experience criteria will not be considered further for the selection process. All the qualified applications will be handed over by HR to the Selection Panel.
 
Step 2: Qualified applications will be further reviewed by the Selection Panel. The Selection Panel will assess and rank all the applications based on the following factors for a maximum of 100 points:

Step 3: Based on the written test assessment, applications will be further shortlisted for Step 3 i.e. Interview. The applications will be evaluated by the Selection Panel for the final selection, based on the following evaluation factors for a maximum of 100 points.

Salary starts at INR 4,95,163 per annum plus benefits, with scope for consideration for adjustment in line with the experience, skills, and knowledge the selected candidate brings.
