As co-convenors of the State of Secondary Education (SOSE) global collaborative, we are also shaping a global agenda to position secondary education as a societal minimum standard—mobilising research, investment, and practice across the Global South.

Job Purpose
The Admin & Finance Officer will be responsible for strengthening and maintaining the Organisation's financial and administrative systems. The role supports effective budget management, accurate financial documentation, vendor coordination, and logistics administration, while ensuring full compliance with applicable statutory, regulatory, and donor requirements.

Compensation
Circa INR 5.5 to 7.5 lakhs per annum (on a cost to the organisation basis), depending on qualifications and experience.
 
 
 Key Responsibilities
 
1. Finance and Compliance 
  • Ensure the compliance of financial and administrative policies and procedures of the organisation.
  • Maintain donor-wise accounting, track grant conditions, utilisation limits, and timelines, and support donor financial reporting and grant closures.
  • To provide support in the preparation of monthly, quarterly and annual reports for auditing and required for Donor reporting.
  • Ensure payments are processed as per the process and complete documentation is maintained.
  • Plan, track and review and report on budget projections & utilisation to Lead- Admin and Finance and Lead- Programme Operations as per monthly and quarterly milestones against planned activities and actual expenditure.
  • Guide, coordinate & support programme team in maintaining programme and financial documents as per the policies of the organisation and applicable laws & regulations to the organisation.
  • To ensure adherence of all statutory compliances like TDS, GST, PF, Gratuity etc. 
  • Provide support in completion of audits (internal and external) including preparation of documents when necessary.
  • Support use and improvement of accounting/ERP systems, donor coding, MIS reporting, and digital record management.
  • Process the payroll in coordination with the HR function, ensuring statutory deductions and timelines are met.
  • Develop and review procurement proposals based on our procurement policy and SOP.
  • Maintain the documentation for expenditures/payments/vouchers/reimbursements. Provide finance guidance to programme and field teams, conduct reviews, and build capacity on documentation and compliance requirements. 
2. Effective and Efficient Administration
  • Ensure all procurements comply with organisation policy.
  • Support consultants for programme implementation as per agreed terms of reference.
  • Coordinate with programme and functional teams to develop ToRs for consultants, vendors, and other external experts based on programme requirements and tracking of payments based on ToRs.
  • Ensure selection and management of vendors for high quality and cost-effective services including travel, office equipment, stationary purchase, maintenance, lodging and other support services to provide seamless support.
  • Ensure that proper safety and security measures are in place and followed for safety of employees during work hours and travel.
  • Coordinates with vendors, statutory authorities related to finance, Administration and IT as and when required. 
3. Key Relationships 
  • Work closely with the PFA team as part of a mutually supportive team to ensure high quality and on time implementation of the project.
  • Maintain regular contact and dialogue with auditors, consultants, subject experts and partners to coordinate activities. 
Qualifications and skills 
  • A Bachelor's degree in Accounting/Finance and a minimum of three years  experience in an accounting and administrative position in an NGO.
  • Knowledge of accounting and financial procedures, track record in completing finance, administrative and operational tasks with professionalism, a high degree of accuracy and efficiency.
  • Strong working knowledge of accounting principles, statutory compliances, and donor-funded project requirements.
  • High attention to detail with demonstrated accuracy in financial documentation and reporting.
  • Ability to manage multiple deadlines and prioritise tasks independently.
  • Proficiency in Accounting/reporting tools, ERP's, and Microsoft Office (Excel, Word).
  • Strategic planner with strong attention to detail and aspiring high standards in all outputs.
  • Excellent collaboration, problem solving skills, ability to prioritise a diverse and demanding workload.
  • Time management skills, self-starter who is able to identify and complete tasks with minimum supervision.
  • Fluency in Marathi will be preferred
