Job Summary
 
The Human Resource Associate will be responsible for supporting key HR functions including, but not limited to, recruitment, employee documentation and personnel files, employee benefits – employee Insurances, maintaining and updating the HR MIS and employee off-boarding process. The incumbent will be assisting the HR Team in transitioning the current HRMS records and files to the digital platform and will continue to maintain the same on routine basis. They will assist the HR team in implementation of HR policies and processes.
 
Responsibilities
  • Recruitment – Ensure job postings on various job portals, initial screening of applications, collate applicant information and manage interview logistics in co-ordination with the hiring managers, line-up the candidates, conduct preliminary HR assessment, obtain candidate’s salary documentation well in time, negotiate salary offers, issue Offer Letter. Co-facilitate end-to-end recruitment cycle.
  • Reference Checks – Perform candidate reference checks from relevant stakeholders within stipulated time frame, before the offer is released. 
  • HR Documentation – Prepare the hiring memos for each position and get it approved by all relevant stakeholders. Ensure completion of all hiring records like interview evaluation form, consolidated rating sheet, updation of Job Description. This process should be completed diligently for each position closed.
  • Digital HRMS– Assist the HR team in maintaining records, files and HRMS database in the required formats to support the digital HRMS transition. They will also continue to support the upkeep of the digital HRMS on a routine basis. 
  • Employee Personnel Files and Record Keeping – Update all employee records and place them in chronological order in their respective personnel files. Update and maintain all other HR related files and records.
  • Employee On-Boarding and Off-Boarding – Ensure smooth and cordial joining and exit process for staff including obtaining and verifying on-boarding and pre-boarding documents, creating employee digital files and records, obtaining separations and clearances etc. 
  • Employee Benefits – Update and maintain all records related to employee benefits like employee insurances – GPA, GMC, GTL etc. Share bi-monthly employee/member addition/deletion advise to Insurers, monitor and maintain all periodic Insurance Endorsements, get it ratified by Finance on a monthly basis, hold monthly Mediclaim Helpdesk to resolve employee’s queries etc.  
Qualifications and Skills
 
JSIPL seeks a results-oriented individual with the ability to produce high quality deliverables, managing multiple concurrent tasks, and meet tight deadlines with attention to detail. The successful candidate is required to have:
  • Masters degree/diploma in Human Resource Management, Personnel Management,Business Administration or any related field. 
  • 2-3 years of experience in routine HR operations including recruitment, HR documentation and digital HRMS. 
  • Candidates with prior hands-on experience in managing digital HRMS will be preferred. 
  • Advance MS Office like MS Excel, MS PowerPoint and MS Word skills.
  • Strong record keeping and documentation skills. Should be methodical and organized.
  • Strong verbal and written communication skills. 
  • Multi-level stakeholder management skills.
