The Borlaug Institute for South Asia (BISA) is a non-profit international research institute dedicated to food, nutrition, and livelihood security as well as environmental rehabilitation in South Asia, which is home to more than 300 million undernourished people. BISA is looking for an outstanding, self-motivated, and result-oriented professional for the position of Jabalpur Station Operations Assistant. The position is responsible for managing farm operations, seed production processes, inventory, procurement activities, financial compliance, and administrative coordination to ensure smooth functioning of the BISA Research Station and associated units.
The location of this position will be ccc M.P.
 
Key Responsibilities:
 
A. Administrative & Operational Support
  • Maintain accurate records of farm operations, production activities, and field outputs.
  • Manage manual registers and any systems for data entry and record keeping.
  • Ensure compliance with organizational guidelines related to finance, HR, procurement, and administration.
  • Maintain control over farm operational processes, including recording of activities and handling documentation such as Indents, PR, GRN, SRN, and gate passes.
  • Support farm labour management, including maintaining attendance records, coordinating labour requirements, and assisting in documentation related to labour engagement.
  • Provide necessary support in logistics arrangement and manage the BISA fleet including farm vehicles at the research station.
B. Procurement & Vendor Management
  • Follow proper procedures for procurement and disposal of farm produce and consumables.
  • Ensure that all procurement related to research station activities complies with organizational guidelines.
  • Support the preparation, compilation, and submission of all procurement- and sales-related documents including calendars to the BISA Procurement Manager, ensuring completeness and compliance with organizational procedures.
  • Coordinate with vendors and finance teams for invoice processing and timely settlement of bills.
C. Inventory & Asset Management
  • Manage and maintain inventory and stock registers of consumables using FIFO principles.
  • Maintain records of inventory, including consumables, seeds, and standing crops.
  • Maintain the fixed asset register, ensure issuance of asset responsibility letters, proper asset tagging, and effective tracking of farm equipment.
  • Support periodic physical verification and reconciliation of inventory and assets.
D. Seed Production, Processing & Sales
  • Maintain complete documentation of seed production from raw production to final processed seed.
  • Manage and maintain seed production unit records and production registers.
  • Prepare and maintain proper records for seed processing activities.
  • Prepare and maintain a comprehensive sales register for seeds and/or grains sold during the year, ensuring accuracy and proper documentation.
  • Support Seed/grain sale at the research station.
E. Financial & Valuation Support
  • Assist in preparation of seeds and consumables valuation.
  • Support preparation of standing crop (crop-in-field) valuations.
  • Maintain proper documentation for audit and financial reporting purposes.
F. Facility & Hostel Management
  • Responsible for the overall management, upkeep, and compliance of the training hostel, including maintenance, safety, and coordination.
  • Support overall facility management at the BISA research station.
G. Other Responsibilities
  • Ensure all records are properly always maintained and audit-ready.
  • Perform any other duties assigned by the supervisor related to farm administration and operations.
Requirements
 
Qualifications & Experience:
  • Graduate in Commerce, Business Administration, Agriculture, or a related field.
  • 4-7 years of relevant experience in administration, procurement, and/or inventory management.
  • Experience in farm/agriculture-related projects will be preferred.
Skills & Competencies
  • Strong organizational and documentation skills.
  • Good coordination and teamwork abilities, with the capacity to work effectively with vendors, farmers, and field teams.
  • Proficiency in written and spoken English
  • Working knowledge of MS Office applications (Excel and Word) and ERP systems.
  • Basic understanding of procurement and inventory management processes.
  • Strong attention to detail and accuracy in record keeping.
  • Ability to demonstrate critical thinking and problem-solving in day-to-day operations.
  • Ability to plan, prioritize tasks, and meet deadlines in a dynamic farm environment.
  • Willingness to learn and adapt to new systems and processes.
Benefits
The position is for an initial fixed-term contract of 12 months, after which further employment is subject to performance and the continued availability of funds. BISA offers an attractive remuneration package, with a range of benefits including health insurance.
