Admin and Finance Coordinator - Job Description

Position: Admin and Finance Coordinator
Location: Ranchi, Jharkhand
Reports To: Director/Program Head

Position Summary

The Admin and Finance Coordinator will be responsible for managing the organization's administrative, financial, statutory, and compliance-related functions. The role includes maintaining financial records, donor compliance, FCRA management, HR coordination, office administration, procurement, and supporting smooth implementation of programs and projects of the organization.

Key Responsibilities
1. Finance & Accounts Management
Maintain day-to-day accounting records, vouchers, cash book, bank book, and ledgers.
Prepare monthly, quarterly, and annual financial reports.
Process payments, reimbursements, advances, and vendor settlements.
Ensure proper bookkeeping and documentation of all financial transactions.
Assist in preparation of annual budgets and project-wise financial planning.
Monitor budget utilization and expenditure tracking.
Coordinate with auditors for internal and statutory audits.
Maintain donor-wise financial records and utilization certificates.
Support preparation of financial statements and audit schedules.
2. FCRA & Statutory Compliance
Manage FCRA-related documentation, reporting, and compliance requirements.
Ensure timely filing of FCRA returns and maintenance of FCRA accounts.
Maintain compliance with Income Tax, TDS, PF, ESI, Professional Tax, and other statutory requirements.
Coordinate renewal and documentation related to NGO registrations and licenses.
Maintain statutory registers, contracts, and legal documents.
Ensure adherence to donor compliance guidelines and financial policies.
3. Administration & Operations
Oversee office administration and ensure smooth functioning of office operations.
Manage procurement processes, vendor coordination, and inventory records.
Maintain office assets and logistics records.
Coordinate travel arrangements, meetings, workshops, and events.
Ensure proper maintenance of office files, agreements, and administrative records.
Supervise housekeeping, office maintenance, and support staff.
4. Human Resource Support
Maintain staff attendance, leave records, contracts, and personnel files.
Support recruitment, onboarding, and induction processes.
Assist in payroll processing and staff reimbursements.
Ensure HR documentation and policy compliance.
5. Donor & Program Support
Support project teams in financial documentation and utilization reporting.
Coordinate with donors for compliance-related documentation.
Assist in preparation of donor budgets, financial reports, and grant documentation.
Ensure proper documentation for project expenses and approvals.
Required Qualifications
Bachelor's/Master's degree in Commerce, Finance, Accounting, Business Administration, or related field.
Minimum 3-5 years of experience in finance and administration in the development/non-profit sector.
Experience in handling FCRA and NGO compliance is mandatory.
Knowledge of accounting software such as Tally, Busy, or similar platforms.
Good understanding of donor compliance and statutory regulations.
Strong organizational, documentation, and communication skills.
Preferred Skills
Proficiency in MS Office, especially Excel.
Ability to work independently and manage multiple responsibilities.
Strong coordination and reporting skills.
Experience working with NGOs, CSR projects, or donor-funded programs.
Key Deliverables
Accurate financial management and timely reporting.
Compliance with FCRA and statutory requirements.
Efficient administrative and operational support.
Proper documentation and audit readiness.
Timely donor financial reporting and coordination.
