Job Purpose
|
|
The Finance & Administration Consultant will provide technical and operational support to ensure effective financial management, compliance, and administrative efficiency across the company, in alignment with Pathfinder policies, donor regulations, and local laws. The consultant will support strengthening financial systems, reporting accuracy, and operational processes to ensure smooth program implementation
Description of Assignment (SOW)
The Consultant shall perform the following:
- Financial Management & Reporting: Prepare and review financial reports; monitor expenditure against budgets; support budgeting and forecasting.
- Compliance & Controls: Ensure adherence to organizational policies, donor regulations, and local laws; review transactions and strengthen internal controls.
- Procurement & Administration: Support procurement processes, vendor management, payments, logistics, and asset tracking in compliance with policies.
- Audit Support: Prepare documentation and support internal and external audits.
- Grants & Budget Monitoring: Track project funding, expenditures, and advances; support financial reporting and partner coordination.
- Process Improvement: Recommend and support improvements to financial and administrative systems and processes.
Desired Qualifications & Experience
- Post graduation in Finance/commerce/ related field.
- Minimum 5-7 years of experience preferably in a NGO or LLC.
- Timely and accurate financial reports.
- Updated budgets and financial tracking tools.
- Compliance and audit documentation.
- Process improvement recommendations.
- Procurement plans and status reports for all projects, including vendor shortlists, RFPs, and contract awards, compliant with policy thresholds.
- Logistics and asset management logs, with quarterly inventories.
- Grant tracking reports (e.g., burn rate analysis, advance liquidation status) produced monthly, with partner expenditure certifications and coordination meeting minutes.
- Financial close-out packages for ending grants, including final expenditure reports and no-cost extension requests if applicable, submitted within 30 days of grant end.
- Month-end reporting to HQ, including accurate financial data, reconciliations, and supporting documentation.
- Bookkeeping and accounting, including maintenance of financial records, journal entries, and bank reconciliations
- Staff and vendor payments, ensuring timely processing and compliance with organizational policies.
