About the Role
We are looking for a detail-oriented and analytical Data Manager to oversee project data management, ensure data quality, and support evidence-based program implementation. The role will be responsible for compiling, cleaning, validating, and managing project data from multiple sources, generating regular reports and dashboards, and serving as the primary liaison with the IT vendor/developer for the organization's Integrated Data Management System (IDMS). The position will work closely with program and field teams to strengthen data quality, improve reporting systems, and support digital data management processes.

Key Responsibilities
1. Data Management & Quality Assurance
• Compile, consolidate, and manage project data received from multiple field locations and partners.
• Perform data cleaning, validation, deduplication, and consistency checks to ensure high-quality datasets.
• Develop and maintain master databases and reporting datasets.
• Identify missing, inconsistent, or erroneous data, send feedback to program teams and ensure timely correction.
• Prepare datasets for analysis, donor reporting, monitoring, evaluations, and audits.
• Establish and implement standard data management procedures, validation rules, and documentation.

2. Data Analysis & Reporting
• Generate routine project reports, dashboards, and summaries using Excel and other reporting tools.
• Support program teams by providing timely, accurate, and well-structured datasets for decision-making.
• Produce periodic indicator reports and monitor data completeness, timeliness, and quality.
• Assist in preparing data for external reporting, reviews, donor requirements, and evaluations.
• Support visualization of project performance through charts, pivot tables, dashboards, and automated reporting templates.

3. IDMS Coordination & Digital Data Systems
• Act as the primary point of contact between the organization and the external IT vendor/developer for the Integrated Data Management System (IDMS).
• Translate programmatic and data management requirements into clear technical specifications for the developer.
• Raise, monitor, and follow up on system issues, bug fixes, feature requests, and enhancements.
• Conduct User Acceptance Testing (UAT) of new modules and system updates before deployment.
• Maintain documentation of system changes, issue logs, and data management workflows.
• Support implementation and adoption of digital data collection tools and reporting systems.

4. Field Support & Capacity Building
• Provide technical support to project and field teams on data entry, reporting formats, and data quality issues.
• Conduct routine data verification and validation exercises with field teams.
• Organize training sessions for staff on data collection tools, Excel, reporting templates, and IDMS usage.
• Develop user manuals, SOPs, and data management guidelines.
• Provide remote or field-based support during data collection, reporting, and system rollout.

5. Data Governance & Compliance
• Ensure adherence to data security, confidentiality, and data backup protocols.
• Maintain data access permissions and user roles within project databases and IDMS.
• Support internal and external data audits.
• Promote good data management practices through regular quality reviews and feedback.
• Maintain documentation related to datasets, reporting schedules, metadata, and version control.

Required Qualifications
• Post Graduate or higher degree in Statistics, Demography, Computer Science, Information Technology, Mathematics, Economics, Geography, Public Health, Social Sciences, or a related discipline.
• Certification in Excel, database management, data analytics, or monitoring and evaluation will be an added advantage.

Experience & Technical Skills
• Minimum 3 years of experience in data management, database administration, monitoring & evaluation, or project data reporting.
• Proven experience in compiling, cleaning, validating, and managing large datasets using Microsoft Excel (Pivot Tables, Power Query, advanced formulas, data validation, conditional formatting; Macros/VBA desirable).
• Strong understanding of data management principles, data quality assurance, and database concepts, with experience in Excel-based reporting systems and project databases.
• Proficiency in statistical software such as STATA or SPSS for data management, validation, and basic data analysis is desirable.
• Familiarity with SQL, relational databases, digital data collection platforms and data visualization tools such as Power BI, Looker Studio, or Tableau is desirable.
• Experience coordinating with software developers or IT vendors for data management systems, with basic understanding of APIs, system integrations, and cloud-based platforms.
• Experience supporting multi-location projects and field teams, preferably in the NGO, development, health, education, or social sector.
• Proficiency in MS Office and Google Workspace.
