Job Description – Hostel Warden
Job Summary

The Hostel Warden is responsible for the overall administration, safety, security, discipline, and welfare of hostel residents. The role ensures a safe, secure, hygienic, and supportive living environment while enforcing hostel policies and maintaining high standards of discipline and resident care. The Hostel Warden oversees day-to-day hostel operations, coordinates with internal departments, manages support staff, addresses resident concerns, and ensures compliance with organizational policies and statutory requirements.

Key Responsibilities
1. Hostel Administration
Oversee the day-to-day operations of the hostel to ensure smooth and efficient functioning.
Manage room allotments, admissions, transfers, and check-in/check-out procedures.
Maintain accurate records of resident occupancy, attendance, leave, visitor logs, and hostel assets.
Ensure compliance with hostel policies, procedures, and organizational guidelines.
2. Resident Welfare & Support
Ensure the safety, security, health, and overall well-being of all hostel residents.
Provide guidance, counseling, and support to residents whenever required.
Address their grievances promptly and ensure timely resolution.
Maintain regular communication with parents or guardians regarding important concerns, emergencies, or disciplinary matters.
3. Discipline & Safety
Enforce hostel rules and maintain discipline among residents.
Monitor attendance,and movement within the hostel premises.
Prevent unauthorized access by ensuring adherence to visitor management protocols.
Handle emergencies, medical incidents, and safety concerns promptly and efficiently.
Conduct regular safety inspections and ensure compliance with fire and emergency preparedness protocols.
4. Hostel Facilities Management
Conduct routine inspections of resident rooms and common areas to maintain cleanliness and hygiene standards.
Coordinate with housekeeping, maintenance, security, and other support services to ensure the hostel remains well maintained.
Monitor the availability and proper utilization of hostel facilities and resources.
Report maintenance issues promptly and ensure timely resolution.
5. Mess & Food Services
6. Foster teamwork and maintain a positive working environment among hostel staff.
7. Compliance & Reporting
Maintain accurate hostel records, registers, inventories, and documentation.
Prepare and submit periodic operational reports to management.
Ensure compliance with institutional policies, safety regulations, and statutory requirements.
Support internal and external audits by maintaining complete and accurate documentation.
