Position Description
The Program Associate - Academics will play a crucial role in supporting the academic team by coordinating with consultants and vendors, assisting in academic material development, and providing administrative and accounts support. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks effectively.
Core Responsibilities:
- Communication & Correspondence: Answering calls, managing emails, greeting visitors, screening messages, and directing inquiries.
- Scheduling & Logistics: Booking meetings, managing calendars, coordinating travel, reserving rooms.
- Information & Record Management: Creating and maintaining digital/physical filing systems, handling data entry, and managing databases.
- Office Operations: Ordering supplies, managing inventory, coordinating facility maintenance, and ensuring a tidy environment.
- Document Preparatiown: Drafting, editing, and distributing memos, reports, presentations, and correspondence.
- Meeting Support: Setting up equipment, distributing agendas, taking minutes, and tracking action items.
- Financial Support: Processing invoices, purchase orders, expense reports, and sometimes basic bookkeeping.
- HR Support: Assisting with employee onboarding, data management, timesheets, and recruitment coordination.
- Event Coordination: Supporting the planning and execution of internal meetings, workshops, and company events.
Key Skills:
- Strong organizational and multitasking abilities.
- Working experience in admin role
- Excellent written and verbal communication.
- Proficiency in MS Office Suite (Word, Excel, Outlook).
- Attention to detail and problem-solving.
- Ability to handle confidential information.
Educational Qualifications, Skills and Experience:
Educational Qualification:
- Bachelor’s degree in Education, Social Sciences, or a related field.
Skills:
- Strong organizational and coordination skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to manage multiple tasks and meet deadlines.
- Attention to detail and problem-solving skills.
Experience:
- At least 2 years of experience in a similar role.
- Experience working with educational materials and coordinating with consultants and vendors.
- Previous experience in administrative and accounts support is preferred.
