Position Summary
The Executive Assistant provides high-level administrative, organizational, and strategic support to the Executive Director (ED). The role serves as a key coordination point between the ED, Board members, leadership team, external stakeholders, clients, government agencies, investors, and employees. The incumbent must demonstrate exceptional discretion, organizational skills, professionalism, and the ability to manage multiple priorities in a fast-paced corporate environment.

Key Responsibilities:

Executive Office Management:
• Manage the Executive Director’s calendar, appointments, meetings, and travel schedules.
• Prioritize competing demands on the ED's time and ensure efficient scheduling.
• Coordinate domestic and international travel, accommodation, and logistics.
• Track key commitments and follow up on action items on behalf of the ED.

Meeting & Governance Support:
• Coordinate Board, shareholder, leadership, and management meetings.
• Prepare meeting agendas, presentations, briefing notes, and supporting documentation.
• Record minutes and track action items to closure.
• Maintain governance records and confidential documentation.

Communication & Stakeholder Coordination:
• Act as a primary point of contact for communications directed to the ED.
• Ensure draft correspondence, presentations, reports, speeches, and announcements.
• Interface professionally with senior leaders, clients, regulators, consultants, and external partners.
• Ensure timely follow-up on critical decisions and business priorities.

Business Coordination:
• Monitor progress of strategic initiatives identified by the ED.
• Coordinate with department heads to obtain updates, reports, and data.
• Support planning and execution of leadership reviews and business meetings.
• Prepare dashboards, summaries, and briefing materials for decision-making.

Information & Document Management:
• Maintain confidential records, contracts, Board papers, and executive files.
• Ensure version control and secure handling of sensitive information.
• Organize executive office documents for quick retrieval and reference.

Event & Travel Management:
• Organize leadership events, town halls, Board meetings, conferences, and external engagements.
• Manage event logistics and ensure seamless execution.
• Support VIP visits and stakeholder meetings.

Administrative & Operational Support:
• Process approvals, expenses, reimbursements, and administrative documentation.
• Manage executive office budgets and vendor coordination where applicable.
• Support special projects as assigned by the Executive Director.

Qualifications:
• Bachelor's degree in Business Administration, Management, Commerce, or related field.
• MBA or Executive Administration certification preferred.

Experience:
• 8-12 years of progressively responsible executive support experience.
• Minimum 3-5 years supporting a CEO, Executive Director, Country Director, Managing Director, or equivalent senior executive.
• Experience in a corporate/PLC environment preferred.

Success Measures:
• Efficient management of the ED's calendar and priorities.
• Timely completion of executive action items.
• High-quality Board and leadership meeting coordination.
• Effective stakeholder communication and follow-up.
• Zero breaches of confidentiality and strong document management practices.
