The Documentation Manager will be responsible for managing, organizing, and maintaining all project-related documents and records. The role ensures proper documentation, compliance with organizational policies, and timely preparation of reports and records required for project implementation and monitoring.

Key Responsibilities

Maintain and manage all project documents, reports, and records in an organized manner.

Ensure proper documentation in compliance with project guidelines, organizational policies, and donor requirements.

Prepare, review, and maintain project reports, letters, and official correspondence.

Coordinate with field teams and project staff to collect and compile necessary project data and documents.

Maintain digital and physical documentation for easy access and reference.

Ensure timely submission of reports and documentation to senior management and relevant authorities.

Support monitoring, evaluation, and audit processes by providing required documentation.

Maintain proper record management systems and ensure confidentiality of sensitive information.

Qualification

Graduate / Post Graduate in any relevant field (Management, Social Work, Administration, etc.)

Experience

Minimum 2–4 years of experience in documentation, reporting, or project administration (preferably in NGO or development sector).

Required Skills

Strong written communication and documentation skills

Good knowledge of MS Office (Word, Excel, PowerPoint)

Ability to organize and manage large volumes of documents

Attention to detail and strong record-keeping ability
