SUMMARY OF THE OVERALL JOB:
Responsible for overseeing day-to-day administrative operations and ensuring smooth office functioning, including managing supplies, hospitality, and vendor coordination. The role also supports travel, meetings, workshops, and events by handling logistics, obtaining quotations, verifying bills, and coordinating with service providers. Additionally, the position ensures timely reporting and contributes to cost-effective and efficient execution of all administrative and logistics activities.
KEY FUNCTIONS / RESPONSIBILITIES:
1. Administrative Functions:
• Manage office supplies (stationery, pantry, housekeeping).
• Ensure hospitality services for guests and visitors.
• Resolve administration-related issues promptly.
• Obtain quotations for hotels, airfares, and assist in budget preparation.
• Coordinate travel and logistics for meetings, workshops, and events.
• Verify bills from hotels/travel agents and forward to Accounts for processing.
• Prepare monthly, quarterly, and annual reports on administration and logistics.
2. Logistics Support:
• Assist in logistics for project events and conferences.
• Coordinate with participants and agencies for safe, hygienic, and cost-effective arrangements.
• Process vendor bills for services & goods.
ELIGIBILITY (EDUCATION AND EXPERIENCE):
• Graduate/Postgraduate/MBA in Operations, Management, or related field.
• 4–5 years in Operations/ HR generalist/administrative roles; NGO sector experience preferred.
• Strong interpersonal & communication skills
• Quick learner and team player
• Ability to take on additional responsibilities.
• Candidates with roots in Delhi / NCR with willingness to travel pan-India on requirement basis.
