Background
Under Global Fund for fight against AIDS, Tuberculosis and Malaria (GFATM) Round 2024-27, National AIDS Control Organization selected Family Health India (FH India) as a Sub Recipient (SR) for Capacity Building Project in two regions of India (South and Northeast). Capacity building Project will contribute to strengthening key components under NACP-V to enhance its effectiveness in addressing the HIV/AIDS epidemic across India's diverse landscape especially in the Southern states. Through strategic investments in prevention, treatment, stigma reduction, capacity building, and research, Capacity Building Project can make significant strides towards achieving its goals of reducing HIV incidence, improving the quality of life for those affected, and ending the epidemic in India.
Goal:Enhance the training skill, knowledge, and capacity of all the cadres under NACP to strengthen the Phase-V program implementation across 36 Indian States/Union Territories to achieve 95:95:95 targets.
Objectives:
- Create, collate and consolidate comprehensive and customized training packages designed to address the specific needs and roles of all the cadres involved in NACP-V.
- Enhance the holistic knowledge of all Cadres on NACP-V as well as build technical knowledge and skillbased competencies on different thematic areas to achieve a uniform level of knowledge across different regions of the country.
- Develop strategies to ensure the continuity and sustainability of training initiatives beyond the project phase through institutionalizing training programs and ensuring a robust system of program implementation within healthcare systems.
Role Overview:
The Logistics Coordinator is responsible for planning, organizing, and managing travel/logistic arrangements for staff, consultants, and stakeholders involved in project activities. This includes travel for training, meetings, field visits, and conferences. The role ensures cost-effective, timely, and policy-compliant travel logistic.
Key Responsibilities:
Travel Planning & Coordination
- Organize travel itineraries including flights, trains, road transport, and accommodations.
- Coordinate group travel for events, workshops, and conferences.
- Liaise with travel agencies and vendors to secure competitive rates and reliable services.
Vendor & Expense Management
- Empanel and manage travel vendors and hotel partners.
- Negotiate corporate rates and ensure compliance with procurement policies.
- Monitor travel budgets and ensure adherence to financial guidelines.
Documentation & Compliance
- Prepare and process travel documents.
- Maintain accurate records of travel expenses and reimbursements.
- Ensure compliance with organizational travel policies and donor requirements.
Communication & Support
- Serve as the point of contact for all travel-related queries.
- Provide emergency support in case of travel disruptions (e.g., cancellations, delays).
- Communicate itinerary details and updates to travellers in a timely manner.
Monitoring & Reporting
- Track travel activities and generate periodic reports.
- Support audits and evaluations related to travel expenditures and logistics.
Qualifications & Experience:
- Bachelor’s degree or diploma in Travel & Tourism, Business Administration, or related field.
- 3–5 years of experience in travel coordination, preferably in the development or public health sector.
- Familiarity with travel booking systems and vendor management.
- Strong organizational and communication skills.
- Ability to work under pressure and manage multiple tasks.
Desirable Skills:
- Knowledge of government and donor-funded project travel norms.
- Experience coordinating travel in remote or underserved regions.
- Fluency in English and Hindi; knowledge of regional languages is a plus.
COMPENSATION
Compensation levels at Family Health India are equivalent to market rates within the development sector. However, offers shall be based on salary history, relevant experience, and qualifications.
