POSITION ROLE
The Human Resources Specialist reports to the ChildFund India’s Director – HR and Administration and is based in Delhi. The job holder ensures effective delivery of full range of human resources services and functions for the organization. The job holder is responsible for implementing and administering position grade classification, recruitment and onboarding, employment contract administration, training and development, compensation and benefits, rewards and recognition, performance management, disciplinary action, through separations. The job holder liaises with and advises line managers and other staff on all HR matters, ensures compliance with HR policies and processes, and applicable Indian labour laws. The job holder also supports the supervisor in workforce planning and implementation of key actions identified under the organization’s HR and Culture strategy. The job may require travel.
 
Remain alert and responsive to any child safeguarding risks, acquire relevant knowledge and skills which will enable you to promote strong safeguarding practices, understand the safeguarding policy and procedures and conduct yourself in a manner consistent with ChildFund’s Safeguarding Policy.
 
PRIMARY RESPONSIBILITIES
Note:The job holder works as part of a 3–4 member HR team, collaborating closely and providing back-up support to ensure service continuity and timely delivery during surges, staffing gaps, or leave absences.
  • Position Classification: Provides guidance to line managers on position classification, including preparation, updates, and revisions of Job Descriptions (JDs). Reviews JDs for alignment with India Country Office gradelevel descriptors, recommends actions, and highlights gaps.
  • Recruitment and Onboarding: Manages end-to-end recruitment, including drafting/reviewing vacancy announcements, coordinating advertisements, screening applications, and organizing interviews/written tests. Ensures fair and transparent processes, maintains hiring documentation, coordinates salary negotiations, background verification, and medical clearance. Prepares conditional offers and employment contracts, and ensures smooth onboarding through welcome packages, structured orientation briefings, benefit enrolments (health insurance, Provident Fund, etc.), and completion of joining formalities.
 
 
 
  • HR Data and Compliance: Maintains accurate and confidential employee records, HRIS, and trackers. Supports HR policy administration, grievance handling, and disciplinary processes. Keeps updated on Indian labour laws, ensures compliance, supports audits, and maintains documentation readiness. Provides HR guidance to staff, proactively flags sensitive issues, and ensures effective communication with relevant departments.
 
  • Employment Contract Management: Tracks contract validity and initiates renewals or separations in coordination with departments. Prepares contracts, extensions, and modifications. Manages separation processes including resignation acceptance, retirement notices, clearances, exit interviews, and full & final settlements with Finance. Maintains records for analysis and retention insights.
 
  • Employee Engagement: Plans and implements employee engagement initiatives aligned with organizational culture policy and requirements. Addresses employee queries promptly and fosters a respectful, inclusive workplace.
 
  • HR Policy Implementation: Supports roll-out and adherence to HR policies and SOPs. Assists in updating policies to reflect legal and organizational changes and ensures staff awareness and compliance.
 
  • Learning and Development: Coordinates annual learning and development planning process and supports rollout of capacity-building initiatives. Manages internal/external training programs and maintains training records.

 

  • Performance Management: Supports implementation of performance management systems, including goal-setting, mid-year reviews, and annual appraisals. Guides managers on objective evaluation, tracks completion, and monitors performance improvement plans.
 
MINIMUM QUALIFICATIONS REQUIRED FOR THIS POSITION
Education: Bachelor’s degree or equivalent in Human Resources Management, Business Administration or a related field is required.
 
Work Experience: Minimum five years of progressively responsible experience in HR management, including payroll and Indian labour law compliances, is requirement.
 
Language Proficiency: Fluency in both English and Hindi is required.
 
Job Knowledge:Thorough knowledge of the concepts, techniques, and practices of Human Resources management and administration; Demonstrated knowledge of applicable Indian labour laws and compliance management. Skills and Abilities: Required skills and abilities include - strong interpersonal and communication skills; excellent organization skills with the ability to plan, multi-task, and handle multiple competing priorities and deadlines; ability to analyze, negotiate, exercise sound judgment, originate ideas and creative solutions, strong attention to detail with a proven ability to drive and expedite end-to-end HR processes without compromising on quality or compliance; demonstrated high-level of integrity and confidentiality in handling people-related and organization-related sensitive information; demonstrated results orientation, with the ability to meet deliverables on time while working independently in a hybrid environment; outstanding professionalism and customer service orientation; demonstrated ability to work collaboratively and with diplomacy with people from diverse cultures; good initiative and problem-solving orientation; proficiency in digital productivity and collaboration tools and ability to effectively leverage them for workflow tracking, information sharing, virtual meeting platforms, digital filing; ability to maintain good working relationship with internal as well as external stakeholders; proficiency in MS Office suite (Word, Excel, Powerpoint, Outlook, Teams, etc.).

EVALUATION AND SELECTION CRITERIA
Step 1: HR Pre-Screening:All Job Applications received will be collated by HR and preliminary screening will be conducted based on the minimum education and experience requirements mentioned above. The Applicants that do not meet the education and experience criteria will not be considered further for the selection process. All the qualified applications will be handed over by HR to the Selection Panel.
 
Step 2: Qualified applications will be further reviewed by the Selection Panel. The Selection Panel will assess and rank all the applications based on the following factors for a maximum of 100 points:

Work Experience (50 points)
 
The written test will be conducted for the most highly rated applications. 
 
Step 3: Based on the written test assessment, applications will be further shortlisted for Step 3 i.e. Interview. The applications will be evaluated by the Selection Panel for the final selection, based on the following evaluation factors for a maximum of 100 points.

Salary starts at INR 925,000 per annum plus benefits, with scope for consideration for adjustment in line with the experience, skills, and knowledge the selected candidate brings.
