To Onboarding a EAP Vendor

Lords Education and Health Society (LEHS), through its Artificial Intelligence Unit (LEHS-AI), is committed to fostering employee wellbeing and creating a supportive work environment. To strengthen mental health and wellness support for employees, LEHS-AI intends to onboard an Employee Assistance Program (EAP) vendor to provide confidential counselling, wellness support, and related employee wellbeing services.
The empanelled vendor will serve as the organization’s designated EAP partner, supporting employees through professional counselling services, wellness initiatives, and awareness programs aimed at promoting holistic wellbeing.
As LEHS-AI continues to grow, employees work across diverse projects, geographies, and high-impact environments that may involve stress, burnout, work-life balance challenges, and emotional wellbeing concerns.
To proactively support employees and strengthen workplace wellbeing, LEHS-AI seeks to onboard a reliable and experienced EAP partner capable of providing accessible, confidential, and professional support services to employees across India.

OVERVIEW OF GEOGRAPHY
|
PAN India.
The scope of work for the onboarded EAP vendor will include:
- Providing confidential counselling support to employees through virtual and/or in-person sessions.
- Offering support for stress, anxiety, burnout, emotional wellbeing, workplace challenges, and personal concerns.
- Conducting wellness workshops, awareness sessions, and webinars on mental health and wellbeingrelated topics.
- Providing crisis support and escalation mechanisms, where applicable.
- Ensuring availability of qualified and certified mental health professionals.
- Sharing utilization reports and anonymized insights with the organization while maintaining employee confidentiality.
- Supporting manager sensitization sessions on employee wellbeing and mental health awareness.
- Coordinating closely with the HR team for smooth implementation and communication of EAP services.

REQUIRED TIMELINES & DELIVERABLES
|
- Timely onboarding and implementation of EAP services post finalization.
- Availability of counselling support as per agreed Service Level Agreement (SLA).
- Quarterly wellness sessions/webinars for employees as per agreed SLA.
- Periodic anonymized utilization reports and program insights.
- Dedicated SPOC for coordination with the HR team.

Proposal Submission Guidelines
|
Your proposal must include:
- Company Profile – history, experience, team strength, and operational presence.
- Relevant Experience – prior experience in providing EAP/wellness services to corporates, NGOs, or similar organizations.
- Proposed Service Model – counselling modalities, turnaround time, languages supported, escalation process, and employee support framework.
- Professional Team Details – qualifications and certifications of counsellors and mental health professionals.
- Pricing Structure – detailed commercial proposal and pricing model.
- Data Privacy & Confidentiality Measures – protocols to ensure confidentiality and compliance with applicable laws.
- References – details of at least two organizations where similar services have been provided.
Please submit the following as enclosures or attachment with your quotation. Bidders must provide all the information requested below. Quotations that do not provide the required information and certificates, or do not follow the submission requirements may not be reviewed.
- Company Profile, testimonials, work completion reports, purchase orders, reference (NGOs).
- GST registration certificate.
- PAN registration.
- TAN registration.
- Audited Financials for last three years.
- Income Tax Return for last three years.
- Cancelled cheque.
- Copy of registration documents/certificate and most recent renewal as a legal entity.
- Preferably Private Ltd company and has sound business records.
Incomplete submissions or proposals without the required documents may not be considered for evaluation.
This component is mandatory for successful submission of the proposal.

Note: Only shortlisted vendors will be contacted for presentations or negotiations. If you do not hear from us within two weeks of submission, consider your proposal not selected. LEHS reserves the right to reject any or all proposals and to negotiate terms and conditions with the selected vendor.
