Position Summary:
PopulationCouncil Consulting is seeking an Associate – Human Resources who will provide proactive and detail-oriented support across core HR operations. The role is responsible for ensuring effective attendance governance, maintaining HRMS data accuracy, supporting recruitment coordination, and managing key employee lifecycle processes. Working under the guidance of the HR Manager, the incumbent will play a critical role in ensuring timely HR operations, data integrity, and seamless coordination across teams while upholding organizational policies and compliance standards.
Key Responsibilities:
1. Attendance & Time Management
- Daily tracking and reporting of employee attendance.
- Monitor and maintain records for On-Duty (OD), Work-from-Home (WFH) and Leave requests
- Ensure accuracy of attendance inputs and timely updates in the system
- Escalate discrepancies or non-compliance in timesheets to concerned stakeholders
2. Timesheet & Compliance Monitoring
- Track submission and approval of employee timesheets
- Identify delays or gaps and follow up with employees/managers
- Maintain compliance records and ensure timely closures
3. HRMS Data Management
- Regular updation and maintenance of employee records in HRMS
- Ensure accuracy of personal, job, attendance, and organizational data
- Update changes related to role, reporting structure, compensation inputs, and status changes
- Perform periodic data audits to ensure data integrity and consistency across systems
4. Employee Lifecycle Support
- Coordinate probation tracking and support confirmation process documentation
- Assist in contract extension tracking and renewal coordination
- Maintain updated employee records for lifecycle changes
5. Recruitment Coordination
- Maintain and update the candidate database and consultant database
- Screen CVs as per job requirements and shortlist suitable profiles
- Follow up with candidates for interview scheduling and feedback coordination
- Support end-to-end recruitment coordination with hiring managers
- Ensure accurate and timely updation of recruitment-related data for reporting and decision-making
6. Contract Management
- Maintain organized records of employee and consultant contracts
- Track contract expiry, renewals, and extensions
- Ensure proper documentation and version control of contracts
- Coordinate with internal teams for approvals and updates
7. Data Management & Reporting
- Maintain HR databases (employees, consultants, candidates) with high accuracy
- Generate regular reports on attendance, recruitment status, HRMS updates, and HR activities
- Ensure confidentiality and data integrity at all times
Education & Experience:
- Master’s degree in human resource management / MBA (Human Resource) or related discipline.
- Minimum 3+ years of progressive HR experience, including leadership roles in medium or large organizations.
- Strong attention to detail and high level of accuracy
- Excellent organizational and coordination skills
- Strong communication and follow-up abilities
- Proficiency in MS Excel and HRMS tools/systems
- Ability to manage multiple HR operational tasks simultaneously
- Understanding of HR processes including attendance, recruitment, contracts, and employee lifecycle management
- Strong accountability, discipline, and problem-solving mindset
