Doctors Without Borders India (DWBI)/Médecins Sans Frontières provides medical assistance during natural and manmade disasters through establishment of healthcare centres, implementing medical programs for critical illnesses on its own or with partners, working for creating medical awareness and capacity building and carry out/sponsor research to provide strategic input on relevant medical treatment options in India.
DWBI offers assistance to people in need, irrespective of race, religion, gender or political affiliation.

Location: New Delhi
Number of positions available: 1 (full-time position)
Availability: 06 months (Maternity Cover)

HR & Benefits:
Salary: INR 62,200 gross/ month (NON-NEGOTIABLE) and secondary benefits (pro rate) as per policies:
• 30 days annual leave, 12 days of National Holidays (all leave types will be pro-rated based on hire date) & Sick leaves are as per the Medical guidelines of DWBI
• 13th month salary benefit (pro-rated based on hire date)
• Contributions made for statutory benefit programs such as Provident Fund
• Accidental insurance cover for employee
• DWBI provides medical reimbursement for employees and their dependents as per DWBI’s health care policy
Main purpose of Post:
Execute administrative, HR and legal related tasks to support the Project HR Manager following DWBI standards and procedures, to ensure legal compliance and to realize the HR capacity required to achieve project objectives.
Functional and Hierarchical Lines:
The position is hierarchically and functionally answerable to Personnel Administration Manager.
Responsibilities/Accountabilities:
• Under the supervision of the personal administration Manager, managing personal files to ensure accuracy, compliance, and on-time payments.
• Updating the HR database and personal files to facilitate HR processes management.
• Updating Social security Tax office files in order to meet legal requirements including specific amendments, when necessary, in order to ensure local labour and fiscal law compliance.
• Preparing employment contracts in conformity with legal requirements including specific amendments, when necessary, in order to ensure local labour and fiscal law compliance.
• Preparing monthly pay slips for all staff, editing and updating the necessary data, in order to ensure the punctuality and accuracy of staff payroll.
• Following up of all expiring rental contract dates and inform the Administration Manager in order to leave enough time to arrange a renewal or look for some other alternative.
• Making all administrative information available to the staff (posting, meetings, etc.), supporting the Personal Administration Manager in translating documents into local language, and assisting in meetings upon request.
• Additional HR/ Admin tasks delegated by the Project HR Manager
DWBI Section/Context Specific Accountabilities:
• Preparing the monthly salary of Delhi and submit to the personal administration and manager
• Follow the record management of all the local hired staff and international mobile staff with the security guard
• Update leave, overtime and other Homere information for LHS
• Preparation of monthly perdiem sheet
• Update daily the movement sheet ensuring that all travel details are correctly reported and taken into account
• Supervising the cleaners (daily, weekly, monthly…) of Delhi, following their monthly request for stationary of the house and evaluating their performance
• Visit at a certain frequency DWBI houses in Delhi, report all issues of room condition, bedsheet, kitchen materiel, equipment, stationery to the personal administration Manager
• Manage all the domestic flights (in the platform Yatra) and the accommodation booking
• Follow up on the accommodation of the Internationally Mobile Staff in Delhi, anticipate the booking of the hotel if the guesthouses are full, and communicate all challenges faced to the personal administration manager
• Ensure the registration of new employees in the regular administration for EPF, PAN, ADHAAR…
• Follow with Record Management Officer for archiving standards in terms of focal management (indexing/archive) for the HR side, be the focal point of audit preparation/responding to the question, and follow the calendar of audit
• Support the Personal administration and manager in the management of visas with the PTO
• Doing all the processes of external administration of Delhi: Official document, FRRO, visit the embassy Ensure good relations with the other HR assistants for smooth management of the cleaners, stationary as the office is using inter sectionally
Requirements:
Education:
• Desirable finance, business, or administration-related diploma.
Experience:
• Essential previous working experience of at least two years in relevant jobs.
• Desirable experience in similar organizations. Languages:
