Job Description (JD)
Position: State Coordinator
Department: Program Management
Location: Lucknow
Reports To: Executive Director / Program Director
1. Position Summary
The State Coordinator will be responsible for the overall planning, coordination, implementation, and monitoring of programs and projects at the state level. The role involves supervising field teams, ensuring effective implementation of donor-funded projects, strengthening partnerships with government and other stakeholders, managing budgets, and ensuring timely reporting and documentation.
2. Key Responsibilities
Program Planning & Implementation
• Lead the implementation of organizational programs and projects across the state in accordance with approved project plans and donor guidelines.
• Develop annual and quarterly work plans, activity schedules, and implementation strategies.
• Ensure that project activities are implemented effectively and meet the project objectives and targets.
• Provide technical guidance and support to district coordinators, field staff, and project teams.
Team Management & Capacity Building
• Supervise and guide district coordinators, project officers, and field staff.
• Conduct regular review meetings, planning meetings, and performance assessments.
• Facilitate capacity-building and training programs for project staff and community groups.
Monitoring, Evaluation & MIS Reporting
• Establish and maintain Monitoring & Evaluation (M&E) systems for tracking project progress and outcomes.
• Monitor key project indicators and Key Performance Indicators (KPIs) to ensure project effectiveness.
• Maintain and supervise Management Information System (MIS) for project data collection and reporting.
• Conduct field visits to monitor project implementation and provide feedback to field teams.
Budget Management & Financial Oversight
• Support project budgeting, financial planning, and expenditure tracking.
• Ensure proper utilization of project funds according to approved budgets and donor guidelines.
• Coordinate with the finance team to monitor expenses, verify financial records, and support financial reporting.
Stakeholder Engagement & Government Convergence
• Develop and maintain strong relationships with government departments, district administration, CSR partners, donors, and partner organizations.
• Facilitate convergence with government schemes and programs to strengthen project outcomes.
• Represent the organization in state-level meetings, consultations, and forums.
Documentation & Reporting
• Ensure timely preparation and submission of monthly, quarterly, and annual reports to management and donors.
• Maintain comprehensive documentation of project activities, case studies, success stories, and impact data.
• Support proposal development, concept notes, and donor communication when required.
Advocacy & Outreach
• Promote the visibility of organizational initiatives through coordination with communication and marketing teams.
• Support advocacy campaigns, community awareness programs, and stakeholder consultations at the state level.
3. Required Qualifications
• Master’s degree in Social Work (MSW), Rural Development, Development Studies, Public Administration, Management, or a related field.
• Minimum 6–8 years of experience in program management, preferably in the NGO/development sector.
4. Required Skills
• Strong leadership and team management abilities.
• Experience in project planning, monitoring, evaluation, and reporting.
• Knowledge of MIS systems and data management.
• Budget management and financial monitoring skills.
• Strong communication, coordination, and stakeholder engagement skills.
• Good report writing and documentation skills.
• Proficiency in MS Office, digital communication tools, and data reporting systems.
5. Additional Desirable Skills
• Experience in livelihood promotion, women empowerment, SHG development, or community development programs.
• Experience in managing donor-funded or CSR-supported projects.
• Understanding of government schemes and program convergence mechanisms.
• Willingness to travel frequently within the state.
6. Employment Type
Full-time / Contract-based (renewable based on performance and project requirements).
7. Salary
