About Water For People
Water For People India Trust Water For People India Trust is a nonprofit organization dedicated to improving access to safe drinking water, sanitation, and hygiene (WASH) in underserved communities across India. Established in 2008, the organization focuses on sustainable, community-driven solutions, empowering local populations to manage and maintain their water resources. They have an established presence in Bihar, West Bengal, Maharashtra, Odisha, Jharkhand and Assam where they have been implementing comprehensive safe water, sanitation, and hygiene promotion (WASH) initiatives and impacted the lives of 2.6 million people so far.
Water For People India Trust is facilitating a behavior change project around Water, Sanitation and Hygiene with a special focus on gender in the three tea estates of Assam. There is a need to supplement behavior change with some technology and services to improve their access to sanitation facilities and practices around them.
Water For People India Trust is a non-profit organization which supports people of developing countries to improve their quality of life by promoting locally sustainable drinking water sources, sanitation facilities and health and hygiene programs. Position Summary:
Water For People India Trust plans to hire an Accounts & Admin Officer to be based at Kamrup, Assam. The incumbent will be responsible for the smooth functioning of the state office to support program implementation. The position will be responsible for all office administration aspects including front office; housekeeping; filing and records; maintenance of communication equipment and other office assets; managing vendors and coordinating consultant travel; stock keeping; and petty cash management.
Duties and Responsibilities:
Office Administration & Operations:
• Support day-to-day front office and administrative operations to ensure smooth functioning of the office.
• Coordinate with housekeeping staff and vendor-deputed personnel to maintain cleanliness, hygiene, and basic office services.
• Ensure proper functioning and routine maintenance of office equipment, communication systems, and utilities.
• Maintain complete and up-to-date filing systems (physical and digital) for administrative records and documents.
• Update and manage office contact databases, vendor details, and service-related records.
Stock & Inventory Management:
• Maintain accurate records of office supplies, consumables, and other administrative materials.
• Monitor stock levels and raise requisitions to ensure timely replenishment of office supplies.
• Coordinate with vendors for procurement and delivery of required materials.
Vendor & Travel Coordination:
• Assist in coordinating travel arrangements for consultants and staff, including liaison with approved travel agencies and direct bookings when required.
• Coordinate with vendors for supplies and services required for meetings, workshops, conferences, and events.
• Ensure timely communication with vendors and support documentation related to orders, deliveries, and payments.
Accounts & Finance Support:
• Assist in checking and verifying invoices, bills, and supporting documents for accuracy and completeness.
• Maintain basic records of office expenses, reimbursements, and petty cash under supervision.
• Support preparation of periodic financial and administrative reports, including monthly expense summaries, as guided by the accounts or finance manager.
• Coordinate with internal teams to ensure timely submission of bills and expense-related documents.
Other Responsibilities:
• Provide general administrative and operational support to project and office teams as required.
• Carry out any other tasks related to office administration and operations as assigned by the Line Manager / State In-Charge, within the scope of the position.
Prerequisites for the position :
Educational Qualification:
• A bachelor’s degree from a recognized University in Commerce, Finance or a related field
• M.Com / CA (Inter) / ICWA (Inter) will be an added advantage.
• Knowledge of accounting software (Tally or similar) is essential.
Experience:
• Minimum 2 to 5 years of experience in accounting, preferably in development sector or donor funded projects.
• Experience in handling project accounts, audits, and financial reporting.
• Familiarity with donor compliance requirements will be preferred.
• Prior experience working with NGOs, trusts, or development projects is desirable.
Skills & Competencies:
• Strong knowledge of accounting principles and financial procedures.
• Proficiency in Tally, MS Excel, and other accounting tools.
• High level of accuracy and attention to detail.
• Ability to organize and maintain financial records systematically.
• Good coordination and communication skills.
• Ability to meet deadlines and work under pressure.
Language Requirements:
• Working knowledge of English for financial reporting and audit communication.
• Knowledge of Assamese and Hindi will be an added advantage.
Other Requirements:
• Integrity, confidentiality, and adherence to ethical financial practices.
• Willingness to support audits and financial reviews as required.
• Ability to work independently as well as part of a team.
