Position: Executive Assistant/ Team Assistant
Number of Positions: Three
Last Date: March 25, 2026. The positions will remain open until filled.
Compensation: A salary that is commensurate with market and experience of the right candidate.
Main Responsibilities and Duties
The candidate is expected to carry out the following key responsibilities:
- Provide all necessary assistance on calendar management (daily/weekly/monthly) and critical appointments and schedule meetings and appointments for the senior management representative;
- Maintain an efficient filing system to ensure smooth, continuous, and timely flow of information in and out of the relevant office and continuously update and maintain databases;
- Support and facilitate the completion of regular reports and prepare required correspondence, memos, and forms;
- Travel Management (ticket, visa, appointments, presentations, processing reimbursements) as required;
- Coordination with office staff and external partners;
- Making sure smooth flow of key events organized by the research team understanding requirements and details; planning and organizing with attention to details including venues, catering, travel, overseeing real event happenings; and, anticipate and resolve problems in a timely manner;
- Assist in the preparation outreach materials for events, such as flyers, brochures, and presentations as and when required and coordinate with communications and social media team;
- Completing a broad variety of administrative/operational tasks as assigned by the team leader;
- Facilitate with data entry on Excel, collected from the seminars/ workshops/ surveys, if required; and
- Any other responsibility assigned by the team leader or her/his designate.
Qualification, Experience and Demonstrated Skills
- Bachelor’s degree with a business/admin assistant certificate or degree is a plus.
- Good Communication Skills (written and oral)
- Integrity and professionalism
- Good knowledge of Microsoft office and digital communications and media tools
- High degree of multi-tasking and time management capability
- Ability to work effectively with senior colleagues and team members
- Proven work experience of 3 years
