Job Summary:
The MIS & Documentation Officer will be responsible for developing & managing the Monitoring & Evaluation related systems including Management Information System (MIS), data collection, analysis, and documentation for the Climate Resilient Integrated Water Project. The role involves ensuring accurate data reporting, monitoring project progress, maintaining digital and physical records, and supporting evidence-based decision-making for smooth implementation of the project and donor reporting. The role would also involve conducting field monitoring visits to assess project implementation, collecting and incorporating beneficiary feedback to improve program effectiveness, assist in baseline and endline studies including data collection and analysis, and support reporting and documentation to ensure accurate and timely project reporting, monitoring & communication.
Key Responsibilities:
1. MIS Design & Data Management
• Develop, customize, and maintain project MIS systems and data tracking tools (aligned with MEL plan and KPIs)
• Manage MIS data entry, validation, cleaning, and updating on a regular basis
• Design data collection formats, dashboards, and reporting templates
• Ensure real-time tracking of project progress (outputs & outcomes)
Maintain village-wise, activity-wise, and beneficiary-level datasets
2. Field Data Collection & Validation
• Coordinate with Junior Technical Officers to ensure accurate and timely data entry.
• Compile and verify field data such as:
1. Quantity of desilting (volume removed)
2. Number and type of structures completed
3. GPS coordinates of assets created
4. Before/after status (photos, water levels, usage)
• Conduct periodic data validation and consistency checks.
3. Progress Tracking & Reporting
• Track activity-wise and milestone-based progress across all interventions.
• Conduct field monitoring visits to verify data accuracy
• Collect beneficiary feedback and ground-level insightsPrepare:
1. Monthly, quarterly, and annual progress reports
2. Donor reports (as per compliance requirements)
3. Case studies, success stories, and best practices
• Support creation of:
1. IEC/BCC documentation materials
2. Project briefs, presentations, and knowledge products
• Ensure proper documentation of all project activities (photos, videos, reports, field notes)
• Highlight delays, gaps, and deviations using data insights.
4. Data Quality & Compliance
• Ensure accuracy, completeness, and consistency of data
• Establish data verification and validation protocols
• Maintain documentation for audits and donor reviews
• Ensure alignment with organizational MIS and reporting standards
5. Documentation of Project Activities
• Maintain comprehensive documentation of:
1. Construction processes (step-by-step)
2. Case studies of successful interventions (e.g., revived ponds, effective recharge wells)
3. Best practices in rainwater harvesting and groundwater recharge
• Capture before-after narratives for each major activity.
6. Photo, Video & GIS Documentation
• Ensure systematic collection of:
1. Geo-tagged photographs of all structures and activities
2. Short videos of key interventions and community engagement
• Support basic GIS mapping of project assets (ponds, check dams, recharge structures, etc.).
7. Knowledge Management & Communication
• Develop communication materials such as:
1. Success stories
2. Project briefs and newsletters
3. Presentations for stakeholders
• Support awareness materials on water conservation and RWH for community dissemination.
8. Coordination & Support
• Work closely with STO and JTOs to align technical data with field realities.
• Coordinate with project management and partners for reporting requirements.
• Support audits, evaluations, and third-party assessments by providing required data and documentation.
9. Monitoring Impact Indicators
• Track and document key outcomes such as:
1. Increase in water storage capacity of ponds/tanks
2. Improvement in groundwater levels
3. Functionality and usage of RWH systems
• Prepare baseline vs. endline comparisons.
Educational & Professional Requirements:
• A Bachelors/Master’s degree in a relevant field (e.g., Social Work, Sociology, Development Studies, Environmental Management etc.)..
Minimum 2–5 years of relevant experience in M&E roles
• MIS management and reporting in development/CSR/government projects
• Projects related to water, WASH, watershed management, or rural infrastructure (preferred)
• Experience in handling large datasets, field data systems, and reporting frameworks.
• Proficiency in: MS Excel (advanced) – data analysis, pivot tables, dashboards, MIS tools / databases
• Basic knowledge of: GIS tools (QGIS/ArcGIS) for mapping project assets
• Data visualization tools (Power BI, Tableau – desirable)
• Ability to manage geo-tagged data, photo documentation, and digital records.
• Strong skills in Report writing (daily/monthly/annual reports), ase study and success story development
• Preparing presentations and donor reports
• Ability to convert field data into clear insights and narratives.
• Strong attention to detail and data accuracy
• Good communication skills (written and verbal)
• Ability to manage multiple tasks and meet reporting deadlines
• Understanding of water conservation, groundwater recharge, and RWH concepts (preferred)
• Possess valid Driving License and own personal Two-wheeler (Mandatory Requirement).
