To Onboard a Food Vendor

Lords Education and Health Society (LEHS), through its Artificial Intelligence Unit (LEHS-AI), is committed to supporting employee wellbeing and ensuring a comfortable work environment for employees working from the office. In light of the ongoing LPG shortage and the resulting challenges faced by employees in arranging meals during work hours, LEHS-AI intends to onboard an organization-empanelled food vendor to provide consistent and reliable daily lunch services at the office.
The empanelled food vendor will serve as the primary point of contact for office lunch services, ensuring a streamlined and consistent process for meal arrangements. This approach will help improve operational efficiency, ensure timely meal availability for employees, and maintain consistency in food quality and service standards.
Due to the ongoing LPG shortage and the operational difficulties faced by employees in arranging meals during work hours, the organization has started providing lunch support for employees working from the office. The initiative is aimed at making employees’ workdays easier, reducing inconvenience, and supporting smoother office operations and attendance.
To streamline this arrangement and ensure consistent meal availability and service quality, the organization intends to onboard a food vendor for providing daily lunch services.

OVERVIEW OF GEOGRAPHY
|
Delhi office.
The selected vendor will be responsible for:
- Providing daily lunch meals for employees working from the office.
- Ensuring timely delivery of meals at the designated office location.
- Maintaining food quality, hygiene, and safety standards.
- Sharing meal menus in advance and accommodating reasonable dietary preferences where possible.
- Ensuring continuity of service on all agreed working days.
- Be able to accommodate reasonable fluctuations in meal quantities based on office attendance.
- Submit invoices and supporting documents as per the agreed billing cycle and organizational requirements.
- Promptly address feedback or service-related concerns raised by the organization.
The vendor should ideally:
- Have prior experience in corporate meal or catering services.
- Be capable of handling daily meal requirements consistently.
- Maintain appropriate food safety and hygiene standards.
- Have the operational capability to cater to fluctuating meal quantities when required.
- Provide clear pricing and billing structures.

REQUIRED TIMELINES & DELIVERABLES

- Ensure timely daily delivery of lunch meals at the designated office location during agreed lunch hours.

Interested vendors are requested to share:
- Company profile and experience
- Proposed menu options
- Pricing structure
- Delivery timelines and process
- Food safety and hygiene practices
- 2 Client references
- Please submit the following as enclosures or attachment with your quotation. Bidders must provide all the information requested below. Quotations that do not provide the required information and certificates, or do not follow the submission requirements may not be reviewed.
- Company Profile, testimonials, work completion reports, purchase orders, reference (NGOs).
- GST registration certificate.
- PAN registration.
- TAN registration.
- Audited Financials for last three years.
- Income Tax Return for last three years.
- Cancelled cheque.
- Copy of registration documents/certificate and most recent renewal as a legal entity.
- Preferably Private Ltd company and has sound business records.

Note: Only shortlisted vendors will be contacted for presentations or negotiations. If you do not hear from us within two weeks of submission, consider your proposal not selected. LEHS reserves the right to reject any or all proposals and to negotiate terms and conditions with the selected vendor.
