1. Introduction
1.1 Company Background
The Hans Foundation (THF), established in 2009, is a Public Charitable Trust working towards creating an equitable society by enhancing the quality of life of marginalized and underprivileged communities in India. THF works across Health, Education, Livelihood, Disability Inclusion, Climate Action, and Disaster Relief, with a focus on rural, remote, and underserved communities.
1.2 Project Overview
The Hans Foundation seeks to engage a professional website development agency to redesign and rebuild its website into a modern, secure, accessible, mobile-first, search-optimized, and easy-to-manage digital platform.
The updated website must strengthen THF’s brand visibility, program storytelling, donor engagement, partner confidence, content management capacity, and institutional credibility. It must offer a seamless browsing experience across mobile, tablet, and desktop devices, while supporting future integrations with CRM, HRMS, external feeds, donation systems, analytics platforms, and multilingual or regional language content.
1.3 Current Website Challenges and Need for Rebuild
The website rebuild is being undertaken due to the following current challenges:
- The current website does not provide THF with adequate flexibility and admin control for routine updates, program pages, blogs, impact numbers, media, and statutory documents.
- The current technology stack is outdated and requires a secure, scalable, maintainable rebuild rather than surface-level cosmetic changes.
- THF does not have full access to reliable source code, backend documentation, and technical handover material for the current website, which affects long-term maintainability.
- The existing website has potential security, performance, and update-related vulnerabilities that need to be addressed through a complete rebuild and secure deployment.
- The current user journeys for donors, CSR partners, job applicants, beneficiaries, media, and due diligence stakeholders need to be simplified and strengthened.
- The new website must support improved accessibility, SEO, content discoverability, analytics, donation journeys, and future integrations.
2. Scope of Work
The selected agency will be responsible for the end-to-end planning, design, development, content migration, testing, deployment support, hosting coordination, warranty support, and ongoing maintenance of THF’s website.
The website must be designed to:
- Attract, inform, and convert individual online donors through improved user journeys, visible donation buttons/widgets, project-level giving opportunities, social media integration, and smooth digital engagement.
- Attract, inform, and convert corporate donors for CSR partnerships, employee-giving programs, strategic collaborations, and future volunteering opportunities.
- Attract, inform, and support potential hires through an improved Careers section, HR announcements, and scope for future HRMS integration.
- Inform potential beneficiaries and communities about THF programs and provide simple ways to connect with the Foundation.
- Improve transparency and compliance by making policies, financials, annual reports, statutory documents, and other organizational information easily accessible to government bodies, due diligence teams, corporate partners, donors, and other stakeholders.
- Strengthen THF’s digital presence through SEO, Answer Engine Optimization (AEO), Generative Engine Optimization (GEO), analytics, website performance, content discoverability, and improved storytelling.
2.1 Content Migration Scope
The agency must include content migration as a defined component of the proposal. The scope must cover the review, clean-up, migration, and quality check of existing website content, including pages, program content, blogs, images, videos or embedded media links, reports, PDFs, downloadable documents, statutory information, and media assets.
The agency must conduct a content inventory during the discovery phase and identify content to be retained, rewritten, archived, merged, or removed.
The financial proposal must include a separate line item for content migration and clearly state assumptions on number of pages, blogs, documents, images, and media assets included.
The agency must ensure URL mapping, metadata migration, SEO-friendly redirects, broken-link checks, and preservation of important search value wherever existing URLs are changed.
Any content writing, rewriting, translation, or transcreation support must be quoted separately, unless explicitly included in the base cost.
2.2 CMS Preference and Content Management
THF prefers a widely adopted, secure, open-source, and easy-to-manage CMS such as WordPress or Drupal. Agencies may recommend another CMS or headless CMS only if they clearly justify its long-term benefits, risks, cost implications, maintainability, internal training requirements, and vendor lock-in considerations.
- The CMS must allow authorized THF users to update pages, blogs, impact numbers, media, resources, job updates, forms, and selected program content without developer dependency.
- The CMS must support role-based access, approval workflows where feasible, audit trails or activity logs, SEO metadata, accessibility fields, media library management, and future multilingual content.
- The agency must provide CMS training, a user manual, and technical documentation as part of handover.
2.3 Hosting Scope
The agency must propose a secure and scalable hosting approach. The proposal must clearly state whether hosting will be procured and managed by the agency, procured by THF with agency support, or managed through an existing THF-approved hosting arrangement.
- Hosting architecture must include SSL, firewall/security controls, backup systems, disaster recovery process, performance monitoring, and uptime monitoring.
- Data hosting in India is preferred, especially where donor, applicant, beneficiary, or form-submitted personal data is processed, stored, or backed up.
- The hosting setup must allow reasonable traffic scalability, CDN integration where required, and capacity to handle campaign spikes, donor drives, media visibility, and event-related traffic.
- All hosting, plugin, license, CDN, security, backup, email, analytics, or third-party tool costs must be disclosed separately in the financial proposal.
2.4 Multilingual Scope
The website must be built with multilingual readiness from Phase 2. The CMS, templates, navigation, metadata, forms, and content architecture must be capable of supporting Hindi and future regional language pages.
- Phase 2 must include multilingual-ready architecture and Hindi support for priority pages finalized during discovery.
- Bulk translation, transcreation, and migration of multilingual content beyond the finalized priority pages may be quoted separately as an optional Phase 3 component.
- The agency must specify how multilingual SEO, URL structures, language switching, and content governance will be handled.
