ROLE SUMMARY
To coordinate and execute Utthan’s internal and external communications, ensuring consistent, high-quality visibility of programmes, learning, and impact. The role includes capturing and developing content from field inputs, documenting stories, learnings and creating communication outputs across digital, print, grassroots platforms and social media, in collaboration with teams. It also involves organizing and maintaining communication materials and documentation from across teams, ensuring timely outputs and strengthening a culture of knowledge sharing. The role offers significant exposure to Utthan’s grassroots programmes and opportunities to deepen understanding of development practice while contributing to how impact and learning are shared within and beyond the organisation.
KEY RESPONSIBILITY AREAS
1. Communication Planning & Coordination
• Support implementation of the annual communication plan
• Support tailoring communication for different audiences
• Coordinate with leadership, KM, and programme teams to plan communication priorities, campaigns, and events

2. Content Creation & Documentation
• Capture and develop content from field inputs, including stories, case studies, testimonials, and programme learnings
• Produce regular communication outputs in English and regional languages: reports, newsletters, website content, and outreach materials
• Support development of key publications such as brochures, annual reports, and learning documents

3. Digital Platforms & Media Management
• Manage and regularly update Utthan’s website, social media, and online platforms with engaging content
• Plan and implement a monthly digital content calendar in coordination with teams
• Liaise with media and support coverage of key events, milestones, and stories

4. Audio-Visual Documentation & Campaigns
• Capture and coordinate audio-visual documentation including photos, videos, interviews, and field visuals
• Work with external professionals where required for multimedia content
• Support planning and execution of campaigns, events, and public engagements to improve visibility

5. Knowledge Management & Systems
• Organize and maintain the repository of communication and knowledge materials (photos, videos, reports, templates, etc.)
• Ensure timely documentation of programme activities, events, and key learnings for internal and external use, including donor reports.
• Support all documentation exercises such as case notes, process documentation, and studies

6. Capacity Building & Internal Support
• Support team members and community leaders to improve basic documentation and communication skills
• Develop/adapt tools, templates, and materials for field use (trainings, meetings, awareness)
• Provide communication support to programme teams for their activities and outputs

7. Monitoring, Analysis & Reporting
• Track communication outputs and basic engagement metrics across platforms
• Maintain records and generate periodic summaries/insights from documentation and communication work to inform programme and organisational learning

8. Coordination & Organizational Support
• Work closely with programme teams, KM, fundraising, and leadership to align communication with organisational priorities
• Ensure regular coordination between field teams and support office for smooth information flow
• Support management with communication inputs, presentations, and documentation needs
KEY SKILLS REQUIRED
• Hands on experience with collaborations & communication software, SEO and web traffic metrics, in-depth understanding of social media,
• Design & content creation: canva (essential), social media content, infographics, basic photography & videography, editing
• Digital proficiency: social media handling and understanding of algorithms, google workspace (Docs, Sheets, Slides, Drive), Microsoft office, spreadsheets, powerpoint Experience in managing website content (preferred), Email drafting and communication
• Field documentation skills: Conducting interviews with community members, ethical and sensitive storytelling, conversion into multiple formats (Case studies, success stories, donor reports, field notes etc.)
• Ability to translate field insights and programme data into data summarisation and narratives
• Ability to work closely with field teams and travel as required
• Fluency in English and Gujarati; Hindi an added advantage. (non-academic, impact-focused acceptable)
QUALIFICATIONS & EXPERIENCE
• Graduate or postgraduate degree in in Communications, Journalism, Development/Rural Studies, Sociology, Social Work, English, Literature or a related field.
• 3-4 years of proven experience in communication, documentation roles, preferably in NGO/ development sector
• Exposure to grassroots contexts such as rural livelihoods, agriculture, gender, climate change
• A background or demonstrated interest in knowledge management and research communication is an added advantage.
• Prior experience working with grassroots programmes or field-based data collection is desirable.
