Society for Agriculture Health Environment Literacy Innovations (SAHELI) is a women led not-for-profit organisation working in Mayurbhanj and Balasore districts of Odisha working for gender empowerment and for a society where gender justice prevails. There is a vacancy with SAHELI for Office Manager to coordinate the functioning of office. This position is office-based one with some amount of travel to the area of operation.

The Office Manager will be stationed at the Head Office of SAHELI located in Hassanpur, Bidyadharpur, Basta, Balasore.

EXPECTED FUNCTIONS OF THE OFFICE MANAGER

a. Streamlining Office Functioning
* Check and ensure the settings for smooth functioning of the office
* Collect and compile from emails and WhatsApp communications to be pursued on every day
* Present a note on the above to the Director on every day
* Collect and compile work done and work plan on every day from emails and WhatsApp
* Present a note on the above to the Director on every day
b. Making Documentation Updated
* Collect MIS from all projects and compile the same
* Present the compiled version of the MIS to the Director on half-monthly basis
* Collect the activity report, after checking against a template, from all the project, compile and submit to the Director at the end of all months
* Collect and compile case studies as and when they are reported by the projects
* Collect and compile photos, videos, audios, and other relevant documents supporting all field activities
* Put together all above information into a draft report
* Follow up all activities in social media platforms
* Keep all files in proper locations every day after use
* Make all displays of the office updated and or improved
* Keep a separate file for press clippings and videos
c. Ensure Logistic Arrangements
* Plan and prepare for all meetings in advance as per the project plans and budgets
* Make arrangements (seating, dais , guest, food and beverages, public addressing system, other electric and electronic system) for all meetings in the office and elsewhere as per requirements
* Contact and discuss with the vendors for the required arrangements
* Ensure involvement of all support hands in organising the above
* Keep proper outline, documents, and accounts with support papers for all logistic arrangements specified above
* Develop final reports with audio and visual supporting materials of all events conducted by SAHELI
d. Extending Support to Team Members
* Extend support to all functions of other staff members
* Coordinate with other staff members and vendors for the smooth happenings of the events
* Keep relevant notes and requests in proper order
* Take care of the travel arrangements of the Director and senior managers
* Support the Director in all daily operations

PERSON REQUIREMENTS

Educational Qualification
* Minimum graduation in any discipline, perefeably in Business Administration
* Degree or diploma in office administration or business development is preferred
* Diploma or advanced degree in computer operations is preferred
* Degree or diploma in communication
Experience: upto three years in
* Office secretary and office management
* Data management - collecting, compiling, assessing, and generating reports
* Making logistic arrangement - training, workshops, meeting and other events
* Documentation of formal and non-formal activities
* House-keeping of NGOs
