Title: Senior Coordinator – Project Support

Location: Panipat, Haryana
Breakthrough is looking for a Senior Coordinator – Project Support, who will be a member of the Operational Support Team, a sub-unit of Breakthrough Trust’s Finance and Operations Centre. The candidate shall be assigned to a particular Program/Project team from time to time and shall operate under a matrixed reporting environment. Administrative reporting shall be to the concerned Program Lead and Functional reporting shall be to the Assistant Manager - Accounts & admin.
The specific job responsibilities are mentioned below:
Key Responsibilities:
A) Backstop all procurement and Administrative & Accounts processes for the concerned Program(s)/Project(s).
This shall include:
Procurement and vendor/consultant management:
- Identification of appropriate vendors/consultants
- Maintenance of the centralised vendor/consultant database
- Preparation of Procurement Requests and coordinate with the Operations team for completing the procurement process from call for proposals, preparation of comparative charts, facilitating procurement decision making and preparation and execution of vendor/consultant contracts.
- Liaison with the vendor/consultant for timely supply of goods and services and ensuring complete documentation in compliance with respective contracts.
Administration:
- Travel logistics for the Program/Project team in coordination with the Operations Team and timely closure and settlement of Travel Claims.
- Backstop logistical support for conduct of seminars, workshops, events and meetings
- Facilities management including utilities, infrastructure, cleanliness
- Maintenance of an appropriate filing and documentation system (in digital or paper format as the case may be) for accounting, procurement and administrative matters: - Inventory Records - Leave and Attendance Records - Correspondence Records
Accounting:
- Handle all aspects of accounting, including vouching, documentation, data entry, ledger review, and payment/receipt processing.
- Ensure timely updating and maintenance of databases in the ERP system and offline. Sound knowledge of TDS.
- Collaborate with other sub-units within the Finance & amp; Operations centre and the Human Resource Management centre.
- Undertake any additional tasks as assigned from time to time.
B) Any other task that may be assigned from time to time.
Specific Knowledge, Skill & Experience Required:
- Bachelor’s degree in Commerce (B. Com) with 3-5 years of experience in handling administration, procurement & Accounting.
- Good working knowledge of data management skill.
- Prior experience working with non-profit organizations is desirable.
- Excellent organization and coordination skills.
- Should be fluent with Hindi language.
