Background
Doctors Without Borders India (DWBI)/Médecins Sans Frontières provides medical assistance during natural and manmade disasters through establishment of healthcare centres, implementing medical programs for critical illnesses on its own or with partners, working for creating medical awareness and capacity building and carry out/sponsor research to provide strategic input on relevant medical treatment options in India.
DWBI offers assistance to people in need, irrespective of race, religion, gender or political affiliation.
GENERAL :
Location: New Delhi
Number of positions available: 1 (full-time position)
Availability: 12 months, with possible extension
Starting date: ASAP

HR & Benefits:
Salary: INR 62,200 gross/ month (NON-NEGOTIABLE) and secondary benefits (pro rata) as per policies:
• 30 days annual leave, 12 days of National Holidays (all leave types will be pro-rated based on hire date) & Sick leaves are as per the Medical guidelines of DWBI
• 13th month salary benefit (pro-rated based on hire date)

Main purpose of Post:
Planning and supervising the execution of the supply chain activities in the project or capital (order, pro-curement, transport and customs and stock management) according to DWBI protocols and standards in order to ensure the optimal functioning of the mission
Functional and Hierarchical Lines:
The position is hierarchically and functionally answerable to Deputy Supply Coordinator Responsibilities/Accountabilities:
• Planning, coordinating, supervising and monitoring on a day-to-day basis the implementation of the supply activities in the project as specified by the line manager, ensuring compliance to DWBI standards, protocols and procedures. Including the following tasks:
• Order management: Responsible for the supply administration, the correct filing and archiving of supply database and the efficient processing and follow up of orders and requests
• Procurement: Responsible for purchase management, in particular the follow up of purchases, preparation, together with the Logistics Manager, market assessments, contracts and supplier evaluations and communication with local suppliers for the status of purchase orders, claims and complaints
• Transport and Customs: Ensuring the clearing and the transport of medical and non-medical goods of the mission and provide info on timelines regarding administrative procedures concerning import, customs clearance, etc.
• Stock management: Controlling quality and costs and the physical state of orders and determines the quantities of products to buy (volume) taking into account the demand and needs of the mission, the availability forecasts, delivery timelines, budget and other relevant factors and monitors stock levels related to monthly consumption figure, expiry dates, excess drugs and possible shortage in the capital
• Communicating with customers, keeping them up to date concerning their orders status (BO confirmation) and prioritizing procurement and transport according to their needs
• Coordinating and leading the team under his/her responsibility including the definition of each person's tasks (daily supervision and checking the quality of their work), drawing up working schedule
• Supervising, in close coordination with the HR department, the associated processes (recruitment, training/induction, evaluation, potential detection, development and communication) of the staff under his/her responsibility in order to ensure both the sizing and the amount of knowledge required
DWBI Section/Context Specific Accountabilities :
• Ensure the transit warehouse is maintained in a clean, organized, and orderly condition, with items properly arranged, clearly labeled, and storage zones visibly identified.
• Ensure all orders are accurately entered and maintained in the System (Lx7) and perform bi-weekly system backups.
• Ensure all procurement documentation is complete, closed, and systematically filed for audit read-iness.
• Adhere to MSME regulations in all procurement activities.
• May occasionally be deployed to any project / office, to support supply activities or provide cover during staff leave and absences.
• Occasionally support or perform Logistics related tasks when requested
Requirements:
Education :
• Essential technical diploma in supply chain
Experience :
• 1-2 years in DWBI Logistics Department, previous experience in supply chain activi-ties related jobs
Languages :
• Essential mission language. Desirable local language
