About the role
The Associate - Finance will support the Finance function in managing accounting operations, grant-related financial processes, statutory compliance, payroll, reconciliations, procurement compliance, and donor reporting. This role requires strong attention to detail, sound knowledge of finance and accounting processes, and the ability to work closely with program teams, auditors, bankers, and statutory bodies.

Key responsibilities
Finance management
- Review expenditure submitted by program and other teams and post transactions in the accounting software in line with approved budgets.
- Periodically verify and approve transactions in accordance with budget provisions.
- Process employee reimbursements, vendor payments, and advances in a timely manner.
- Reconcile staff advances and vendor advances/outstanding balances on a monthly basis.
-Support monthly closure of books of accounts for all projects, including FCRA and non-FCRA accounts.
- Ensure timely booking of expenses, especially at the time of grant close-out.
- Maintain proper documentation of grant-related records in line with donor guidelines.
- Prepare Budget vs Actual reports for all projects on a monthly basis and track utilization against approved plans.
- Work closely with program teams to ensure optimum utilization of grant funds.
- Prepare and submit Statements of Expenditure to donors as required.
- Support preparation of budgets, MIS, utilization certificates, and financial reports for donors, sponsors, and management.

Banking-related tasks
- Prepare monthly bank reconciliations.
- Coordinate with banks for day-to-day transaction-related requirements and documentation.

Statutory compliances
- Ensure timely payment of statutory dues including PF, GST, and TDS.
- Support quarterly filing of TDS returns and GST-related calculations.
- Prepare details and supporting documents for income tax assessments, scrutiny, and related matters.
- Coordinate statutory filings related to FCRA, ROC, Income Tax, Provident Fund, GST, MHA, and other applicable authorities.
- Work closely with auditors and the company secretary for timely and accurate compliance.

Investments
- Maintain complete tracking of grant fund investments, including fixed deposits.

Fixed assets register
- Ensure the fixed assets register is updated on time.
- Support periodic physical verification of fixed assets.

Closure of books of accounts
- Support the Finance & Accounts function in maintaining books of accounts.
- Assist in preparation and finalization of the balance sheet and financial statements.
- Coordinate with auditors during statutory audits, half-yearly audits, and donor/external audits.

Payroll processing
- Support payroll preparation and timely salary disbursement.
- Ensure proper calculation and deduction of taxes at source.

Cash flow and reconciliations
- Prepare monthly cash flow statements at the beginning of each month.
- Conduct monthly analysis of debtors and creditors to ensure timely clearance of receipts and payments.

Procurement compliance
- Ensure all procurements are aligned with the organization’s procurement policy.

FCRA compliances
- Maintain and oversee FCRA bank accounts, grants, and related day-to-day accounting.
- Track amendments to FCRA rules and ensure timely statutory filings and compliance.

Skills and qualifications
- Minimum 2–3 years of relevant experience in finance and accounts, preferably in a non-profit organization.
- Strong knowledge of FCRA, GST, TDS, and Income Tax matters.
- Good computer skills, including MS Office, especially Excel and PowerPoint, along with working knowledge of systems such as Business Central and Tally.
- Strong analytical ability and high attention to detail.
- Good written and verbal communication skills in English and Hindi.
- Organized, flexible and able to prioritize work effectively.
- Strong interpersonal and team coordination skills.
- Ability to manage multiple assignments within tight deadlines.
- Comfortable working in a multicultural and dynamic work environment.
- Willingness to travel to field as and when required.

Education and experience
- M.Com, MBA, or CA (Inter); additional qualifications will be an added advantage.
- At least 3 years of relevant experience in finance and accounts.
- Strong experience in preparing and managing Excel-based reports.
- Experience with Business Central will be preferred.
- Prior experience of working in NGOs will be preferred.
