Job title: M & E Cum Documentation Coordinator

Department: Program Implementation

Location : Chandrapur - Maharashtra

Duration: Till 31st March 2027

Reporting to: Program Manager

Level Of Contact with Children: 1 (Direct contact with children/youth)

The position holder shall be responsible to adhere & work within the ambit of Plan India’s Safeguarding Policy & Gender Equality Policy.

ABOUT PROJECT:
The project aims to improve the health, nutrition, and overall well-being of women and children during the critical first 1,000 days from conception to a child’s second birthday by enhancing access to quality growth monitoring, immunization, and nutrition services. This effort is expected to reduce malnutrition, improve birth outcomes, and support better early childhood development. To achieve this, the project focuses on strengthening maternal health and nutrition during pregnancy through better access to quality antenatal care and promotion of appropriate dietary practices; promoting optimal Infant and Young Child Feeding (IYCF) practices such as early initiation and exclusive breastfeeding, along with timely complementary feeding; and reinforcing community systems and behaviours related to hygiene and access to government health and nutrition entitlements to ensure sustained improvements in maternal and child health outcomes.

SCOPE OF WORK:

1. Monitoring & Evaluation (M&E) Framework Implementation :
• Support the development and implementation of the project’s Monitoring & Evaluation framework, indicators, tools, and tracking systems.
• Ensure regular monitoring of project activities against planned targets and outcomes.

2. Data Collection & Verification :
• Coordinate collection of qualitative and quantitative data from field teams and partners.
• Verify data accuracy, completeness, and consistency before reporting.
• Conduct periodic field visits for data validation and monitoring support.

3. MIS Management :
• Maintain and regularly update the Management Information System (MIS).
• Ensure timely entry, compilation, analysis, and retrieval of project data.
• Generate dashboards, summaries, and analytical reports for management review.

4. Reporting & Documentation :
• Prepare monthly, quarterly, and annual progress reports for internal and donor requirements.
• Compile activity reports, success stories, case studies, human-interest stories, and best practices.
• Develop high-quality documentation/case studies/reports with photographs, beneficiary testimonials, and impact narratives.

5. Data Analysis & Learning :
• Analyse project data to assess progress, trends, gaps, and impact.
• Provide evidence-based recommendations for improving project implementation.
• Support learning and knowledge-sharing processes within the project team.

6. Support Assessments & Evaluations :
• Assist in conducting baseline, midline, end line surveys, and external evaluations.
• Coordinate data compilation, analysis, and report preparation for assessments.

7. Quality Assurance :
• Ensure adherence to data quality standards, donor guidelines, and organizational protocols.
• Monitor consistency of reporting formats and documentation practices across project locations.

8. Coordination with Field Teams :
• Provide guidance and capacity building to field staff on data collection tools, reporting formats, and documentation standards.
• Coordinate with program teams to ensure timely submission of reports and evidence.

9. Digital Documentation & Archiving :
• Maintain organized digital and physical records of project documents, reports, photographs, IEC materials, and media coverage.
• Ensure proper archiving and accessibility of project information.

10. Communication & Visibility Support :
• Support preparation of newsletters, presentations, donor communication materials, and social media content related to project achievements.
• Assist during donor visits, review meetings, and audits by providing relevant data and documentation.

11. Compliance & Confidentiality :
• Ensure confidentiality and ethical handling of beneficiary data and sensitive information.
• Maintain compliance with safeguarding and data protection policies.

12. Outcome Tracking :
• Track project indicators and outcomes regularly to ensure timely achievement of project objectives and deliverables.

EDUCATION AND EXPERIENCE:

Basic requirements :
• Graduate/Postgraduate degree in Statistics, Demography, Public Health, Social Sciences, or a related field.
• Minimum 3–5 years of experience in Monitoring & Evaluation, research, and documentation, preferably in public health or development programs.
• Proficiency in data analysis and management using Excel, SPSS, Kobo, or similar statistical software.
• Strong skills in data modelling, statistical analysis, dashboard development, and report preparation.
• Experience in donor-funded projects, MIS management, and evidence-based reporting.
• Knowledge of quantitative and qualitative research methodologies, including surveys and impact evaluations.
• Experience in designing data collection tools, managing ICT-based data systems, and training field teams.
• Excellent documentation, report-writing, presentation, and communication skills.

Preferred Skills:
• Strong expertise in data analysis, data visualization, and dashboard development using Excel and statistical software.
• Excellent report writing, documentation, and presentation skills with the ability to translate data into actionable insights.
• Proven experience in managing large datasets, ensuring data quality, and supporting donor reporting requirements.
• Strong coordination, communication, and capacity-building skills for working effectively with field teams and stakeholders.
