1. ABOUT THE ORGANIZATION
The Institute for Global Development (IGD) is a not-for-profit institution registered under Section 25. The organization was established in 2008 and works in the areas of public health, including Maternal and Child Health & Nutrition, Sexual and Reproductive Health with a focus on adolescents (10–19 years), Communicable Diseases including HIV, TB and Hepatitis B & C, and Non-Communicable Diseases including Hypertension, Diabetes, Obesity and Mental Health.
Nutrition is a core pillar of human development and a cross-cutting agenda across IGD's interventions. As part of its ongoing public health initiatives, IGD is undertaking a campaign to reinforce key messages related to anemia, nutrition and healthy practices among communities.
As part of the campaign, IGD intends to print, supply and distribute Flyers and Headbands across 28 identified districts in Andhra Pradesh, Telangana and Karnataka.
IGD therefore invites quotations from eligible and experienced printing agencies, manufacturers, suppliers, FMCG/merchandising agencies and vendors for the printing, production, packing and district-level delivery of these campaign materials.
2. OBJECTIVE
The objective of this RFQ is to identify a suitable vendor/agencies for the printing, production, packing, transportation and delivery of campaign Flyers and Headbands to designated District Headquarters across 28 districts.
The selected vendor will be responsible for ensuring:
- Quality printing and production as per IGD-approved designs.
- Production in the required local languages.
- Timely completion of printing/production.
- Proper packing and labelling.
- Transportation to all designated District Headquarters.
- Submission of delivery challans and signed delivery receipts.
- Replacement of damaged or poor-quality materials, wherever applicable.
3. SCOPE OF SERVICES
The selected vendor shall be responsible for the following:
- Printing of Flyers as per the design, size, paper quality, colour and content approved by IGD.
- Printing/production of Headbands as per the approved design, material, size, colour and specifications.
- Printing/production of materials in the required local languages for each state/district.
- Preparation of samples/proofs before commencement of bulk printing.
- Obtaining written/final approval from IGD before bulk production.
- Printing and production of the approved quantity.
- Quality checking of all printed/produced materials before dispatch.
- Packing of materials district-wise and clearly labelling each package/carton.
- Transportation and delivery to the designated District Headquarters.
- Coordination with IGD/project representatives regarding delivery schedules and locations.
- Obtaining signed acknowledgement/receipt from the designated receiving person at each district location.
- Submission of delivery proof, signed receipts and other supporting documents to IGD.
- Replacement/reprinting of defective, damaged, incorrect or poor-quality materials at the vendor's own cost.

Vendors are encouraged to submit complete commercial and technical information to facilitate the evaluation process. PoSH Compliance All applicants/company/agencies/institutions, where applicable, are expected to comply with Government of India guidelines/policies relating to the Prevention of Sexual Harassment (PoSH) at the Workplace. Applicants may be requested to provide information regarding the status of their Internal Complaints Committee (ICC), wherever applicable. The quantities mentioned in this RFQ are indicative estimates for procurement planning purposes. The final quantity, district-wise allocation, product specifications and delivery schedule will be communicated by IGD to the selected vendor. Issuance of this RFQ does not constitute a commitment by IGD to award a contract or purchase the entire estimated quantity. IGD shall not be legally bound by any award/selection communication until a formal agreement/work order is duly issued and/or signed, as applicable.
