Location: Anahat For Change Foundation Office, 14 Pathakpara Road, Behala, Kolkata – 700060
Work Arrangement: Strictly Offline / Work from Office
Reports To: Directors / Management
Minimum Experience: 2 years of relevant experience, preferably in the NGO/non-profit sector
Remuneration: Up to 25,000 per month, inclusive of all applicable taxes/deductions, depending on years and relevance of experience
Working Days: 6 days a week*
Working Hours: 10:30 AM – 6:30 PM

About Anahat
Anahat For Change Foundation is a women-led, non-profit organisation working towards creating a more gender-just and equitable society. Founded in 2018, Anahat works with women, girls, children, adolescents, and vulnerable communities to address systemic inequalities and strengthen their access to opportunities, rights, resources, and support systems.
Our work focuses on areas including menstrual health and hygiene, sexual and reproductive health and rights (SRHR), gender justice, adolescent empowerment, youth leadership, livelihoods, sports for development, and community-led development.
Anahat works across multiple geographies in India through community-based programmes, partnerships, research, capacity building, and collaboration with government institutions, CSR partners, foundations, and other stakeholders.

About the Role
The Accountant will be responsible for managing the organisation’s day-to-day accounting and financial records, statutory compliance support, HR documentation, employee records, procurement, stock management, logistics, and project/grant-related financial documentation.
The role requires a person who is detail-oriented, organised, responsible, comfortable handling confidential information, and able to manage multiple administrative and financial responsibilities in a dynamic non-profit environment. Anahat For Change Foundation welcomes applications from qualified candidates of all genders. Women, trans-folk or people from historically marginalised communities are encouraged to apply.

Key Responsibilities

1. Accounting & Finance
1.1 Maintain day-to-day accounting records and financial transactions in Tally.
1.2 Record purchases, expenses, receipts, payments, and journal entries.
1.3 Maintain project-wise financial records and supporting documents.
1.4 Conduct bank reconciliation and monitor bank transactions.
1.5 Prepare payment vouchers, receipts, invoices, and other financial documents.
1.6 Maintain records related to grants, donations, and project expenses.
1.7 Support audit preparation and provide required financial documents.

2. Tax & Statutory Compliance
2.1Handle TDS-related work, including calculations, records, payments, and documentation.
2.2 Maintain GST-related records and supporting documents, wherever applicable.
2.3 Support statutory filings and compliance requirements.
2.4 Maintain records required for 12A, 80G, FCRA, and other organisational compliances, as applicable.
2.5 Coordinate with external accountants, auditors, and consultants when required.

3. HR & Employee Records
3.1 Prepare and maintain employee appointment letters, offer letters, relieving letters, and other HR documents.
3.2 Maintain employee personnel files and HR records.
3.3 Maintain and regularly update employee leave and attendance records.
3.4 Maintain employee joining documentation and information.
3.5 Prepare HR-related letters, notices, and internal communications as required.
3.6 Support implementation and documentation of organisational HR policies.
3.7 Coordinate with employees regarding HR documentation and leave-related matters.

4. Documentation & Record Management
4.1 Prepare and maintain organisational documents, agreements, letters, board resolutions, reports, and supporting records.
4.2 Maintain proper physical and digital filing systems.
4.3 Ensure financial, HR, and organisational documents are properly organised and accessible.
4.4 Maintain records required for audits, donor reporting, and compliance.

5. Procurement & Purchase
5.1 Handle purchase and procurement requirements.
5.2 Collect quotations and coordinate with vendors where required.
5.3 Prepare purchase-related documentation and maintain purchase records.
5.4 Coordinate with vendors regarding orders, bills, payments, and deliveries.

6. Stock Management
6.1 Maintain stock records for materials, products, and other organisational items.
6.2 Record stock receipts, issues, transfers, and balances.
6.3 Assist with periodic physical stock verification.
6.4 Coordinate with relevant team members regarding stock requirements.

7. Logistics & Coordination
7.1 Coordinate logistics related to organisational activities, projects, materials, and products.
7.2 Arrange transportation and delivery/pick-up of materials as required.
7.3 Maintain relevant logistics records and supporting documents.
7.4 Coordinate with internal teams and external vendors/service providers.

8. Project & Grant Support
8.1 Maintain project-wise expenditure records and supporting documentation.
8.2 Assist in preparing financial information required for project reports.
8.3 Track project-related purchases, payments, and expenses.
8.4 Support the team during donor/grant audits and financial reviews.

Eligibility & Experience

*Essential*
1. Minimum 2 years of relevant professional experience.
2. Prior experience working with an NGO/non-profit organisation is required.
3. Working knowledge of accounting processes and financial documentation.
4. Proficiency in Tally.
5. Good working knowledge of MS Excel and MS Office.
6. Ability to maintain accurate financial and administrative records.
7. Strong attention to detail and confidentiality.

*Preferred*
1. Experience in NGO accounting and project/grant financial management.
2. Familiarity with statutory compliances relevant to non-profit organisations.
3. Experience coordinating with auditors, Chartered Accountants, vendors, and external consultants.
4. Experience handling HR documentation and administrative responsibilities.

*Remuneration*
Up to ?25,000 per month, inclusive of all applicable taxes/deductions, depending on the candidate's years of experience, relevant experience, and suitability for the role.
