About the Position: We are looking for a responsible, detail-oriented and committed Finance Officer to support the organization's day-to-day financial and accounting operations.
The Finance Officer will be responsible for maintaining accurate financial records, ensuring statutory and donor compliance, supporting financial reporting and budgeting, coordinating audits and monitoring project-level financial activities.
Candidates with practical experience in the NGO/Non-Profit sector, FCRA compliance, donor-funded projects, statutory compliances, budgeting, financial reporting and audit coordination will be preferred.
Key Responsibilities
1. Accounting & Financial Management
• Maintain accurate and up-to-date books of accounts and financial records.
• Record receipts, payments, journal entries, advances, expenses and project-related transactions.
• Verify bills, vouchers, supporting documents, approvals and accounting classifications.
• Ensure proper allocation of expenditure to projects, budgets, cost centres and funding sources.
• Monitor staff advances and ensure timely settlement of outstanding advances.
• Maintain systematic documentation and filing of financial records.
2. FCRA Compliance
• Maintain proper accounting records and supporting documentation for FCRA receipts and utilization.
• Ensure FCRA funds are utilized strictly in accordance with approved project objectives and applicable regulations.
• Maintain FCRA-related ledgers, bank records, vouchers and supporting documents.
• Assist in the preparation and filing of applicable FCRA returns and statements.
• Coordinate with auditors and management on FCRA audit and compliance requirements.
• Monitor transactions relating to foreign contributions and ensure appropriate accounting treatment and documentation.
3. Bank Reconciliation & Financial Reporting
• Prepare Monthly Bank Reconciliation Statements (BRS) for all bank accounts.
• Investigate and resolve unreconciled items promptly.
• Prepare monthly income and expenditure statements and other financial reports.
• Prepare Monthly Budget vs. Actual (BVA) Statements for projects and the organization.
• Analyze budget variances and provide explanations for significant deviations.
• Provide timely financial information and analysis to management to support decision-making.
4. Statutory Compliance – EPF, ESIC & Professional Tax
• Ensure timely calculation, accounting, and payment of EPF/PF contributions.
• Ensure timely compliance with ESIC requirements and contributions.
• Handle Professional Tax (PT) calculations, deductions, payments and applicable returns.
• Coordinate with HR/Payroll teams to ensure accurate statutory deductions and compliance.
• Maintain statutory registers, challans, returns and supporting records.
• Monitor statutory due dates and ensure timely compliance.
5. Audit & Annual Financial Statements
• Assist in the preparation of annual financial statements and supporting schedules.
• Coordinate with statutory auditors during the annual audit.
• Prepare audit schedules, supporting documents, ledgers, confirmations and reconciliations.
• Respond to audit queries and ensure timely submission of required documents.
• Assist in the preparation and finalization of audited financial statements.
• Support the preparation of financial information required for Income Tax Returns, FCRA reporting, donor reporting and other regulatory requirements.
6. Budgeting & Project Finance
• Assist in preparing annual organizational and project budgets.
• Monitor project expenditure against approved budgets.
• Prepare monthly Budget vs. Actual Statements.
• Identify budget overruns, under-utilization, and unusual expenditure trends.
• Work closely with project teams to ensure expenditure remains within approved budgets.
• Support project teams in financial planning, budgeting and expenditure monitoring.
7. Donor & Project Reporting
• Prepare financial statements and reports required by donors and funding agencies.
• Ensure all financial reports are supported by appropriate documentation.
• Maintain project-wise financial records and fund-utilization information.
• Assist in preparing utilization statements and fund utilization reports.
• Coordinate with program/project teams regarding financial requirements and reporting.
• Ensure timely and accurate submission of donor financial reports.
8. Field Visits & Financial Monitoring
• Undertake field visits at least once every month to project locations.
• Review project-level financial records, supporting documents, advances, cash/bank transactions, and budget utilization.
• Verify financial documentation and compliance at field/project offices.
• Interact with field and project staff to identify and resolve accounting and financial issues.
• Submit a brief Field Finance Monitoring Report after each visit, highlighting observations, corrective actions and pending issues.
• Support project teams in strengthening financial controls, documentation and compliance.
9. Internal Controls
• Ensure compliance with organizational financial policies and procedures.
• Verify appropriate authorization and approval of expenditures.
• Monitor cash handling, advances, procurement-related documentation and supporting records.
• Identify financial control gaps and bring them to the attention of management.
• Assist in strengthening internal financial controls and risk-management practices.
Required Qualifications & Skills
• Bachelor's or Master's degree in Commerce, Finance, Accounting, Business Administration, or a related field.
• 3–5 years of relevant experience in Finance & Accounts; experience in the NGO/Non-Profit sector will be preferred.
• Practical knowledge of FCRA, EPF, ESIC, Professional Tax, Income Tax/TDS and other applicable statutory compliances.
• Experience in preparing BRS, Budget vs. Actual Statements, financial reports, utilization statements and audit schedules.
• Experience in coordinating statutory, donor and project audits.
• Strong knowledge of accounting principles, financial controls and documentation.
• Working knowledge of Tally/Prime or other accounting software and MS Excel.
• Good analytical, organizational, documentation and communication skills.
• Ability to work independently as well as coordinate effectively with project and support teams.
• Willingness to travel to field / project locations at least once a month.
