Front Desk Officer: Noida: 1 position
About the Position:
Under the supervision of the Regional HRM- Soth Asia and functional link with the Regional Programme Director (RPD)- South Asia the Front Desk Officer will be responsible to assist and support RPD of his office management of day-to-day work and Support RHRM on HR Management.
Duration of the agreement: 15 May 2026- 31 May 2027
Terms & Conditions: Fixed Term (Renewable contract subject to funding situation)

Key Responsibilities:
Management of RPD Office
- Management of RPD Office Plan and manage the calendar of RPD and schedule the meetings and travels related management and communication (internal and external).
- Draft letters and correspondence and organize related files.
- Prepare meeting minutes, mailing and deliveries and coordination meeting room calendrers.
- Coordinate and act as a guide for all visiting guests internal/external.
Management of HR Administration
1 Administration of HIPeople (Human Resources Information System) platform for India; prepare yearly public holiday list in collaboration with the team and share with Regional HRM as per the deadline, update of personal records, update of documents/files and create new staff profile as necessary.
2. Maintain Leave Records.
- Monitor leave records of the staff in HIPeople and ensure update as necessary. Share the record as required and decided.
- Ensures the quality of personnel administration for HI staff present in his/her geographical area.
- Is responsible for the archiving process, its quality and compliance
- Provide administration support for Recruitment
Management of Front office Management
- Support in management of all incoming and outgoing documents.
- Manage front desk operations and perform general administrative task, such as answering and directing phone calls, handling e-mail, files.
- Manage all incoming and outgoing mail: registration, distribution, dispatch
- Keep the reception area clean and tidy
- Act as the emergency Focal Point (for contacting the emergency services
- Book plane, bus and train tickets, and rental vehicles for business trips
Note: This job description remains flexible, to respond to additional tasks or changes as identified by the line manager
Qualification and Skills Required:
- At least bachelor’s degree in business/office administration, Communication or related field with at least 2 years of working experience in similar responsibility, preferable in international organization, in communication/HR and/or Front office Management
- Knowledge of good practices of general office management
- Good communication and interpersonal skill
- Well organised and Proven skills of efficient task management
- Good computer skills in Microsoft Office Suite Applications including Word, Excel, Outlook, social media, mobile apps.
- Proficiency in written and oral English and Hindi.

Compensation & Other Benefits:
Salary: Per Month from INR 50,000 to INR 55,000 (all-inclusive monthly salary: basic, housing, transportation, communication, COLA, bonus, PF, gratuity, etc.)

- Casual: 10 days
