Transform Schools is working to ensure that every child realises their full potential in school and beyond. Anchored in India's national priorities and the Sustainable Development Goals (SDGs 4, 5, and 10), our mission is to improve learning outcomes, gender equity, and life opportunities for secondary-grade students aged 13-18. 
 
We co-design and implement evidence-based education programmes with State governments, with a focus on strengthening foundational learning, building equitable learning environments, and preparing students for transitions beyond school. Our work combines pedagogical innovation, teacher development, data-driven instruction, and systemic reform to ensure every adolescent—especially those from underserved communities—can thrive. As co-convenors of the State of Secondary Education (SOSE) global collaborative, we are also shaping a global agenda to position secondary education as a societal minimum standard—mobilising research, investment, and practice across the Global South. 
 
Our work spans two institutional vehicles: People For Action, a charitable society that delivers CSR and grant-funded programmes, and The Transform Trust, which leads outcomes-linked engagements. 
 
With a strong footprint across multiple States (Definite plans of expansion in deepening of our work) and a commitment to scale, we aim to reach 30 million children by 2030, building a future where quality secondary education is a reality for all.
 
Job Purpose
The Executive Assistant (EA) at Transform Schools will provide high-level administrative, operational, and strategic support to the Chief Executive Officer (CEO) and Chief Operating Officer (COO). This role is pivotal in enabling leadership efficiency, organisational coordination, and effective communication across teams, partners, and external stakeholders.
 
The EA will manage dynamic calendars, ensure timely follow-through on priorities, support strategic initiatives, and uphold confidentiality and professionalism in all interactions. The role requires exceptional organisational skills, sound judgment, attention to detail, and the ability to anticipate needs in a fast-paced, mission-driven environment focused on improving secondary education outcomes at scale.

Circa INR 8-10 lakhs per annum (on a cost to the organisation basis), dependent on qualifications and experience.
 
Key Responsibilities
 
1. Executive Support and Coordination
  • Manage complex calendars, scheduling, and prioritisation for the CEO and COO, ensuring optimal time utilisation. 
  • Anticipate needs and proactively prepare executives for meetings, events, and travel.
  • Coordinate and track follow-ups from meetings and ensure timely closure of action items.
  • Liaise with the CEO's and COO's internal and external stakeholders, including senior leadership, to coordinate meetings, gather inputs, follow up on reports and deliverables, and ensure timely communication and execution.
  • Prepare concise briefs, summaries, and key highlights from reports, documents, meetings, and events to support informed decision-making and enable efficient review by the CEO and COO. 
2. Communication and Correspondence
  • Draft, proofread, and manage correspondence, reports, presentations, and briefing documents for internal and external use.
  • Act as the first point of contact for the CEO's and COO's offices, handling inquiries with professionalism and discretion.
  • Maintain strong communication channels between the leadership team and other departments, partners, and external stakeholders. 
3. Meetings and Event Management
  • Organise leadership meetings, board meetings, and key organisational events, including agenda setting, documentation, and logistics.
  • Support preparation of presentations and materials for external convenings, donor meetings, and strategic reviews.
  • Record minutes, track decisions, and manage post-meeting follow-ups and documentation. 
4. Travel and Logistics Management
  • Plan and coordinate detailed travel itineraries for domestic and international trips, ensuring smooth logistics and expense reconciliations.
  • Liaise with internal and external partners to align travel and meeting schedules with organisational priorities. 
5. Information and Document Management
  • Develop and maintain efficient systems for document organisation, retrieval, and version control (digital and physical).
  • Support data and information collation for reports, reviews, and strategic planning processes. 
6. Gatekeeping and Confidentiality
  • Exercise sound judgment in managing access to the CEO and COO, filtering requests and communications appropriately.
  • Handle confidential information with absolute discretion and integrity. 
7. Administrative Support
  • Assist in tracking key organisational goals, initiatives, and deliverables to ensure alignment with strategic priorities.
  • Provide logistical and coordination support to cross-functional projects and internal communications.
  • Support leadership in preparing for speaking engagements, public communications, and stakeholder interactions.
Essential Requirements 
 
1. Education and Experience
  • Bachelor's degree required; Master's degree in Business Administration, Public Administration, or related field preferred.
  • 6-7 years of experience as an Executive Assistant or in a senior administrative role supporting top leadership.
  • Prior experience in the development sector, philanthropy, consulting, or a fast-paced mission-driven organisation is desirable. 
2. Skills and Competencies
  • Exceptional organisational and time-management skills with the ability to manage multiple priorities and deadlines simultaneously. 
  • Strong written and verbal communication skills — clear, concise, and professional in tone.
  • High degree of professionalism and discretion, particularly in handling confidential and sensitive information.
  • Strong relationship management skills and ability to engage confidently with senior stakeholders, board members, and partners.
  • Tech-savvy and digitally fluent, with strong proficiency in MS Office Suite, Google Workspace, and productivity tools such as Zoho, Trello, or Asana.
  • Proactive problem-solver who anticipates needs, takes initiative, and drives tasks to completion independently.
  • Meticulous attention to detail and ability to ensure quality and accuracy in all deliverables.
  • Adaptability and resilience in a fast-paced, evolving environment with competing demands.
  • Commitment to Transform Schools mission and values, and an appreciation for the education and social impact ecosystem.
